Senior Helpers scheduling office in Murfreesboro is seeking someone with excellent written and verbal communication skills, organizational and time mgmt will be required for success, experience in excel, data entry, customer service experience, record keeping for current and outstanding balances. These are all minimal requirements. Experience with CHOICES dashboard, compliance, manual confirmations – this experience will place them at the highest level.

Indirect Reports: Director of Finance and CHOICES Business Development Mgr.

CHOICES Compliance Coordinator

Objectives:

1. Ensure CHOICES EVV meets or exceeds 95%

2. Continuously monitoring CHOICES EVV dashboard

3. Compliance Tracking Daily

4. Caregiver Onboarding and Continued Training

5. CHOICES Billing and Payroll

1. Ensure CHOICES EVV meets or exceeds 95%

· Attend weekly compliance meetings > in collaboration with CBDM

· Respond to and implement corrective action plans as issued by MCOs

· Monitor tablets within clients home

· Submitting letters to clients informing caregiver is not compliant

i. At risk of losing benefits and cg removal

· Message caregivers assigned to shifts through end of next business day

2. Continuously monitoring CHOICES EVV dashboard

· Manage daily CHOICES processes; shift confirmations, ensuring WellSky shift does not exceed approved auth, schedule deviations, shift notes, late missed visit reason codes, merging clock ins/outs, exporting claims for payment, support assigning caregivers to visits (CHOICES dashboard matches WellSky.

· Notify CHOICES Team of discrepancies.

3. Compliance Tracking Daily

· Manage the CHOICES EVV tracking sheet, report to CHOICES Team daily list of misses/issues

i. Managing caregiver infractions – 3 strike rule (coaching, in person, removed)

· Reach out to CG’s for feedback and with available shift sheet to get placed onto ongoing shifts

· Replace delinquent CG’s with CG’s needing work

4. Caregiver Onboarding and Continued Training

· Create CHOICES profiles > handoff to Onboarding Coordinator

i. Test logins after creation

ii. Update onboarding tracker

· Complete hands-on training during Caregiver Orientation

i. Ensure caregivers have correct mobile apps

ii. Ensure caregivers complete test clock-ins and outs

iii. Instruct caregivers to enter links and passwords into their phones for future reference

· Create and distribute CHOICES toolkit to all caregivers prior to new shift

· Training employees in the field (site visits, occasional M&Gs, workshops, etc.)

· Work with Finance, CgRM, DOO to address delinquent caregivers to change behavior

5. CHOICES Billing and Payroll

· Maintain the tracking sheet for CHOICES billing.

i. Submit manual confirmations

ii. Follow-up within EVV to ensure manual confirmation was approved within 120 day timely filing limit

· Ensure all MCOs remain informed about any issues related to billing (ex: system malfunctions, addresses in the system, GPS radius, etc.)

· Collect all timesheets needed for billing

i. Utilize Docusign for efficient retrieval of missing timesheets

ii. Mark shift as not payable and timesheet not received

1. Ensure caregivers receive communication informing that they must submit timesheet to receive pay.

iii. Ensure all timesheets meet CHOICES requirements prior to submitting manual confirmations

· Reduce Aged Receivables below 15K

i. Maintain below 5K per 1M Rev

· Eliminate CHOICES write offs

· Support transition to electronic timesheet system
