Function:

Perform all reception and clerical duties that may be required by all departments: administrative, accounting, sales, parts, and service. Responsible for processing accounting documents under the supervision of the bookkeeper. Organizes and maintains office records in an orderly and efficient manner.

Primary Responsibilities:

1. Greet customers, answer the telephone and perform receptionist duties. Coordinate incoming/outgoing communications for company personnel. Assist customers/visitors in locating the proper store personnel for their needs. Provide a friendly, positive initial contact with customer/visitors both on the phone and in person.

2. Perform clerical services to all departments at the request of department personnel. This includes typing, filing, communications, etc.

3. Handle all incoming and outgoing mail. Distribute incoming mail to proper personnel.

4. Organize and maintain all files and records pertaining to his/her area of responsibility in a logical and orderly manner. Be available to assist other personnel in obtaining these records when needed

5. Process all accounts payable and vendor documents for payment. Reconcile receipts and invoices, organize and code all documents for approval by the Controller. After approval and proper accounting coding, enter all payables into the computer system for payment. Batch and print payable checks according o the schedule determined by the Controller. Responsible for maintaining accurate vendor information in computer files, updating when necessary. Handle initial vendor inquires concerning status of payables. Apprise the Controller of vendor problems, and transfer questionable inquires to the Controller.

6. Process all requests for special governmental bid discounts with vendors and verify receipt of credit. Maintain all documentation required to obtain discounts from vendors

7. Organize, file, and maintain all John Deere documents on a daily basis. Reconcile all John Deere documents with monthly statements. Organize all other packing lists, receipts, and other documents and forward to accounting department as required.

8. Responsible for updating and maintaining customer database in the computer at the request of administrative and sales departments.

9. Responsible for keeping his/her office and work area neat, clean, and orderly. Reorder supplies as needed for all areas or responsibility.

10. Work flexible hours as required.

11. Perform any other duties assigned by the Controller/Office Manager.

General:

The Assistant Bookkeeper must have a good knowledge of general accounting and a good knowledge of office procedures. This position requires proficiency at typing and using a 10-key calculator. Must have some experience with computer data entry and work processing. Must be able to communicate with people and provide assistance when necessary. Must have a valid driver’s license and be insurable by the Company insurance carrier. This position requires the ability for moderate to heavy lifting (50lbs+), as well as the agility for bending, squatting, and reaching objects at heights above the head while standing. They must possess all body senses, with corrected vision and hearing, and the sense of touch throughout the body evaluated as “normal” by a physician.

Pay: $18.00 - $20.00 per hour
