Job Title: Projects Administrator
Compensation: $16.00-$17.50
Hours: Monday- Friday 7AM-2PM
Location: Tulsa, Ok
The Projects Administrator is directly responsible for the smooth functioning of administrative operations of the Coating Division. The Project Administrator provides the connectivity within the division while assisting the division manager and shop foreman with any additional tasks when necessary.

The Projects Administrator is directly responsible for the smooth functioning of administrative operations of the Coating Division. The Project Administrator provides the connectivity within the division while assisting the division manager and shop foreman with any additional tasks when necessary.
ESSENTIAL DUTIES & RESPONSIBILITES:
- Prepare quotations in JobBoss and deliver to customers (upon instruction by Division Manager).
- Receive customer purchase orders and prepare job file to include original customer purchase order, drawings, specifications, work-order, order acknowledgement, BOL, and Job Boss Traveler.
- Prepare work file for shop foreman or lead painter to include job boss traveler, a copy of customer purchase order, work orders, drawings, specifications, and product data sheets.
- Prepare completed job files for billing to include all contents of both job and work files, paint report, BOL and packing slip signed by customer. This file should then be delivered to the accounting department daily.
- Order, receive and take inventory of paint and shop supplies while preparing appropriate documentation for each. Also, label paint as it comes in with job number.
- Answer company’s main phone lines and page employees.
- Assist Division Manager and shop foreman with administrative tasks.
- Complete any other duties assigned by Coating Division Manager or the President.
EMPLOYEE SPECIFICATIONS:
- High school diploma or G.E.D. is required.
- 1 year of related experience preferred.
SKILLS & ABILITIES REQUIRED:
- Excellent time management skills
- Ability to work under minimal supervision
- Handle stress well while juggling tasks
- Detail-oriented
- Ability to read, write, and comprehend written and oral instructions in order to carry our directions.
- Must be able to model and encourage teamwork with peers and employees in the group.
