Job Summary
Xavier University of Louisiana is accepting applications for a full-time position of Program Manager. The position of Program Manager reports to the Associate Dean, Graduate Programs and Summer School. The Program Manager will support the College of Arts & Sciences Office of Graduate Programs (OGP) and Summer School in the day-to-day operational activities including application processing, meeting and calendar coordination, preparation of correspondence, assisting with managing budgets, travel plans and arrangements, and monitors office supplies inventory and place orders and requisitions as needed. Minimum Qualifications
  • A Master’s degree from an accredited institution.
  • At least 3 years working in Higher Education Institutions.
  • Proven record for achieving goals.
  • Strong writing & communication skills.
  • Superior management and organization.
  • Ability to work independently.
  • Proficient in MS Office and Adobe.

Preferred Qualifications
An MBA from an accredited institution, preferably in marketing
  • 3-5 years’ experience working in Graduate Education
  • Ability to work effectively with faculty, students, adult learners, non-traditional students, and veteran student populations.
  • Experience with Banner Student Information System.
  • Experience with Slate CRM (Customer Relationships Management).

Special Requirements Summary

Work Hours
Monday – Friday 8 am – 5 pm

Knowledge, Education, Experience, and Proficiencies
  • Provides administrative support to the Associate Dean
  • Work in tandem with the Office of Enrollment Management and Marketing and Communications Office to contribute to OGP recruiting, marketing, and advertising initiatives.
  • Develop strong communication with graduate coordinators to ensure OGP’s web presence is up to date and relevant.
  • Represent Office of Graduate Programs in local, state and national recruitment markets, including but not limited to visitation programs, fairs, workshops, receptions and tours.
  • Assist with all aspects of the application funnel to include answering emails, calls, processing applications, from inquiry through matriculation.
  • Generate monthly or quarterly progress reports.
  • Conduct Research for the development of proposals for new graduate programs.
Represent the OGP in community outreach initiatives, meetings, conferences, etc.
  • Maintains inventory of supplies and reorder office supplies as appropriate.
  • Files and retrieves documents, records, and reports. Provide application files to registrar’s office annually.
Responsible for the preparation of files for Graduate Council committee meetings.
  • Records and distributes meeting notes as directed.
  • Supervise work-study students and manage related timesheets.
  • Work in concert with the Associate Dean to develop, integrate, and deliver university and community resources for students associated with the OGP.
  • Performs related duties as assigned.
