JOB DESCRIPTION

Summary: Coordinates inventory replenishment activities with suppliers, sales, logistics and operations for specific specialty categories.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Place purchase orders with assigned vendors utilizing an awareness of seasonal
fluctuations, market effects and other information that require a high attention to detail to avoid spoilage, overstocks and shortages.
  • Manage and maintain the entire Purchase-to-Pay process, covering:
o PO Creation
o Vendor Confirmation
o Accurate expected delivery date updates
o Collaboration with Accounts Payable to ensure payment
  • Maintain Purchasing systems data to effectively generate suggested POs
  • Maintain necessary required vendor documents (electronic and physical), such as W-9’s, Indemnities, etc.
  • Work closely with:
o Vendors to ensure POs are filled and delivered in a timely fashion
o Vendors to manage FDA issues
o Logistics to minimize freight expenses
o Sales Managers to manage out-of-stock or over-stock risks
o Customer Service teams to enable sales order growth
o Buyers to build upon best-practices
  • Build and maintain vendor relationships to not only support PO fulfillment, but also negotiate volume discounts and price breaks wherever possible
  • Maintain BFC dating system to minimize close dated issues and Expired product impact
Quality Assurance Activities
  • Oversee inspections of all inbound produce loads from suppliers and inter-company transfers ensuring all products are inspected in accordance with USDA and internal standards.
  • Oversee the continuous product inspections of inventories to always ensure products available for distribution meet company standards.
  • Walk the warehouse and cold rooms daily directing and verifying the inspection of all produce inventories in the facility.
  • Partner with Sales and Category to ensure all customer quality expectations are met.
  • Work closely with Procurement, Sales, and Operations to communicate needs and opportunities
  • Communicate effectively with Rework and Procurement to ensure products are reworked in an effective and timely manner
  • Receive, log, and investigate root cause of all product quality complaints. Take corrective actions to eliminate the continuation of the quality issue. Develops and implements preventive actions to
  • Eliminate repeating quality issue
QUALIFICATIONS
  • Education and/or Experience:
o 5+ years buying experience with a focus on the Produce Category.
o Bachelor’s degree from accredited four-year college or university preferred
  • Previous food service distribution and/or food importing experience strongly preferred
  • Computer skills (JDE, Microsoft Suite – Word, Excel, PowerPoint, etc.)
  • Competencies and/or Attributes:
  • Must be a team player with a positive attitude
  • Excellent verbal/written communication skills and basic technology proficiency (Excel, PPT, etc.)
  • Self-starter, professional, goal oriented and able to handle multiple tasks
o Must have a sense of urgency and be able to work under pressure, be comfortable in a fast-paced, metrics-driven environment
o Flexible with the ability to work well with all departments and levels of staff both internally & externally
o Professional demeanor during all interactions with vendors, customers and fellow employees via phone or in-person
o Have a drive to advance within the organization
