Under the general supervision of the Department’s Associate Administrator perform technical fiscal duties using established departmental and University procedures. The department has a grant portfolio of approximately 120 funded budgets, about $11M spending per year.

This appointment will support the fiscal operations for the Department of Psychology in the areas of purchasing, invoicing and travel.

DUTIES AND RESPONSIBILITIES
  • Primary responsibility is to process Purchasing, Travel, Reimbursements and Invoices for payment through ARIBA or Procard.
  • Review, approve, and allocate expenses to appropriate budgets. Use Project Cost Accounting (PCA) in departmental budgets for internal reporting.
  • Maintaining accurate records and problem solve discrepancies with faculty, staff and outside vendors.
  • Perform the monthly review of 50 department Procards ensuring appropriate budget, account code, PCA code and transaction notes are entered accurately.
  • Perform monthly budget reconciliation: review all transactions for budget appropriateness, ensure Use Tax is applied, identify and liquidate pending encumbrances, and process expense transfers as needed.
  • Maintain fiscal documents for open budgets and archived records.
  • Assist Grant Team with post-award issues and budget closeout as needed.
  • Perform miscellaneous related fiscal duties as required.

    MINIMUM QUALIFICATIONS
    Three years of fiscal record keeping experience, or equivalent education/experience.

  • Ability to work in a team and function in a fast-paced environment which requires frequent multi-tasking ability.
  • Experience working with MS Excel and Word.
  • Working knowledge of the University’s accounting systems; ARIBA, Procard and CTA websites.
