Summary/Objective

Working under the general supervision of the Motor Vehicle Supervisor, the Deputy Clerk has daily contact with the public and is responsible for processing vehicle transactions including, but not limited to, license renewals and title transfers.

The Deputy Clerk must be proficient at handling cash and balancing a cash drawer daily.

Duties and Responsibilities

  • Serves customers at the counter by registering and transferring vehicles, and providing assistance with other motor vehicle transactions are required.
  • Produces and mails out registration renewals in a timely manner. Processes title transactions in and out of state, new and used vehicles. Processes dealer title work, subcontractor renewals and internet renewals.
  • Coordinates with the Texas Department of Motor Vehicles and the Texas Comptroller of Public Accounts to respond to citizen requests in a timely, professional manner.
  • Possesses knowledge of the Texas Department of Motor Vehicle Manuals (Registration and Title Manual) and the Comptroller Motor Vehicle Manual, and applies them to daily tasks.
  • Assists customers with specialty license plates.
  • Collects payments for the Texas Department of Motor Vehicles.
  • Collects sales taxes for the Texas Comptroller of Public Accounts.
  • Maintains accurate filing system.
  • Maintains work area in a professional, organized manner.
  • Performs mailroom duties as requested.
  • Adheres to Smith County policies as well as additional departmental policies.
  • Performs other duties as assigned.

Required Skills and Abilities

  • Must be punctual in arrival, break and lunch periods.
  • Must be able to work with little to no supervision. Communicate with the Motor Vehicle Supervisor regularly.
  • Must be able to communicate effectively in written and oral form. Must answer telephone calls from the public, state offices and others regarding motor vehicle laws and policies regarding licensing and titles. Must use the tools available to write letters, set up forms and calculate fees for a professional approach to communicate with the taxpayers.
  • Must be proactive in seeking new and better ways to perform daily tasks and increase efficiency. Seek additional duties or tasks as appropriate.
  • Must display good decision-making skills when needed.
  • Must display leadership ability when others seek knowledge.
  • Must organize workload by planning daily activities.
  • Must accept and adapt to office changes.
  • Must assist county employees in all departments as needed.
  • Must maintain a positive attitude with customers and colleagues.
  • Bilingual Spanish / English is preferred.

Education and Experience

  • High School diploma or G.E.D.
  • One (1) to four (4) years of experience with cash handling, computer data entry, customer service and general office procedures.

Physical Demands and Work Environment

Daily sitting, standing, walking, stooping, bending, pulling, reaching and lifting of books and files, weighing 40 pounds or more, in an office environment.
