As an Administrative Assistant and Case Aide, you will be primarily responsible for assisting Case Managers with transportation needs and attending court hearings or home visits on an as needed basis. This individual will be responsible for greeting all visitors upon their arrival to the office, while also working collaboratively with all program staff to ensure quality and efficient services are delivered to families and children served.

This position is expected to function effectively with regular supervision while following the guidelines given on procedures, along with agency, federal, and state regulatory requirements.

ESSENTIAL JOB RESPONSIBILITIES

  • Greet and welcome visitors upon arrival with a positive attitude;
  • Promptly address incoming calls and route them to the appropriate person;
  • Receive and route incoming postal and inter-departmental mail;
  • Maintain a schedule of appointments, and arrange conferences, interviews, and meetings, as requested;
  • Perform administrative task, and other document gathering and filing in compliance with state licensing requirements;
  • Run various reports, and draft correspondence and/or transcribe meeting notes, as requested;
  • Maintain an adequate inventory of office supplies, and notify the supervisor when inventory is low;
  • Maintain monthly program statistical data and distribute report findings to the Clinical Supervisor;
  • May be required to perform basic bookkeeping and accounting functions, as needed;
  • Track and collect family information for re-approval requirements, while also educating families on re-approval and re-authorization requirements;
  • Perform clerical duties as requested;
  • Distribute reports and other documents, as requested;
  • Coordinate and distribute the internal office calendar of events to client families;
  • Attend training as needed and apply newly gained knowledge in providing services;
  • Provide transportation and supervision of clients for birth family visits, appointments, and other social agencies;
  • Assist Case Managers with administrative task, as requested;
  • Complete other duties as assigned.

QUALIFICATIONS:

  • High School Diploma or equivalent;
  • Must be at least 21 years of age to operate a vehicle on behalf of the agency;
  • At least one (1) year of prior experience working in an office setting;
  • Prior work experience within a child welfare agency, preferred;
  • Excellent verbal and written communication skills;
  • Must have an ability to provide excellent and compassionate customer service;
  • Ability to work independently and exercise a high level of confidentiality;
  • Must be reliable with time sensitive deadlines and tasks;
  • Demonstrated multi-tasking abilities while managing multiple priorities simultaneously;
  • Working knowledge of office practices, procedures, and basic Accounting;
  • Proficient in Microsoft Office products;
  • Computer and typing skills sufficient to perform essential job functions;
  • Active motor vehicle license and maintain a reliable vehicle with adequate insurance coverage;
  • Pass a criminal history screen, including state and local child protection agency registries;
  • Subscription to and integration of the agency Statement of Faith, Mission Statement, and Diversity, Equity, and Inclusion Commitment.
