Job Summary:

1) Medical Secretary: Responsible for providing coverage for absent Medical Secretaries, for the accurate and efficient day to day operations of the outpatient psychiatric prescriber(s) office(s).

2) Scheduling: Responsible for providing coverage for absent Scheduling staff, accepting and triaging all OP referrals assuring accuracy in scheduling (and rescheduling) patient appointments as necessary.

3) Insurance Verification: Responsible for assisting to verify patient insurance and appropriately schedule patients; effective communication with the patient and various agency departments to ensure timely processing of claims and accurate claims payment of Agency rendered services.

4) General: Demonstrates good housekeeping related to work area, common areas, patient areas and customer service and collegiality amongst coworkers, in all aspects of position.

Qualifications:

· High school diploma or equivalent; medical office or administrative assistant degree or experience preferred.

· Basic computer skills including Word, Excel and e-mail. EMR experience preferred.

· Working knowledge of medical terminology.

· Excellent communication skills – verbal and written – including telephone etiquette and ability to utilize a multiple phone line system.

· Ability to remain empathetic and sensitive to patients in distress and maintain strict confidentiality at all times.

· Ability to be flexible and accommodating with short notice.

· Must be a critical thinker with the ability to multi task.

· Must have the ability to be discreet and maintain confidential and professional approach at all times.

Essential Job Functions (Medial Secretary):

1a) Required to back up medical secretaries as needed.

1b) Greet patients for appointments, check patients out after appointment, collect proper signatures for consents, billing, ROI, etc., and scheduling next appointment.

1c) Manages office documents as necessary, ensuring appropriate patient authorizations. (Labs, Prior Auths for medications, PDMP, REMS, Referrals, Disability paperwork, Housing, Emotional Support Animal , etc.) Documents all work completed into the EMR.

1d) Verifies any patient changes in address, phone, or insurance and updates accordingly in the EMR.

1e) Accurately takes messages for clinicians and presents them in a timely manner. Follow up as necessary with patient or others as directed by clinician.

1f) Reviews and completes prescriber documentation in EMR on daily basis for completeness and accuracy in patient charting, including grammatical review for quality purposes.

1g) Continuously reviews clinicians schedule to ensure accurate scheduling and works to minimize open appointment slots in clinicians’ schedules. Addresses any areas of concern with supervisor.

1h) Assists with weekly case management process including appointments, reminder call lists, discharges, closing letters, etc.

1i) Properly follows through with patients who miss scheduled appointments, need reminders, placed on standby or cancelation lists, etc. Maintains and reviews lists daily.

1j) Re-schedule patient appointments for Physicians, Nurse Practitioners, Nurses and Therapist as necessary when there is a change in the schedule.

Essential Job Functions (Scheduling):

2a) Answer referral calls and appropriately triage patient needs. May involve coordination with mental health delegate or emergency services.

2b) Undertands the Agency Continuum of Care in order to properly schedule patients with proper level of care; collaboration with other staff as needed for proper scheduling of new patients and in-patient follow-ups for the Agency.

2c) Requires concise gathering of patient information. Verifies insurance status for all new admissions, prior to services being scheduled whenever possible.

2d) Schedules patient appointments for Physicians, Nurse Practitioners, Nurses and Therapists. Ensures clients are scheduled with the appropriate clinicians and/or level of care as directed, and according to insurance.

2e) Re-schedules patient appointments for Physicians, Nurse Practitioners, Nurses and Therapists when indicated by a change in the schedule.

2f) Continuously reviews clinicians schedule to ensure accurate scheduling and works to minimize open appointment slots in clinicians’ schedules. Addresses any areas of concern with supervisor.

Essential Job Functions (Insurance Verification):

3a) Knowledge and ability to verify client insurance using electronic systems from payer sources to identify plan detail and eligibility.

3b) Must understand Agency Revenue Cycle in order to validate accuracy in client insurance profiles in EMR and trace claims processing.

Must be proficient in the use of the EMR in order to run regular reports to ensure accurate information is entered for claims processing.

3c) Ability to have effective communication with insurance/billing team to ensure timely and accurate claims payment for services rendered.

3d) Pursue authorization for any Out of Network agreements or County Authorizations, as needed.

Must be aware of authorizations and timely file requirements in order to prioritize work accordingly, tracking any authorizations that need follow up, and ensuring follow up happens at the appropriate time to request extension if necessary.

3e) Communicate as necessary with patients, clinical and business office staff regarding insurance issues, requirements, EMR functionality to ensure proper claims processing.

3f) Other office/practice supports duties as assigned.
