Qualifications:
  • Provides secretarial support to department personnel, and administrative support.
  • Reports to a leader level 4 or 5.

Education:
Essential: * High School Diploma or GED

Responsibilities:
Performs a wide variety of general and specific typing assignments and filing

  • Coordinates and organizes secretarial work flow for the department. Provides for follow-up of projects

  • Arranges meetings or classes. Coordinates meeting rooms, audio visual equipment and materials

  • Serves as primary administrative support for specified director and/or department managers.. Anticipates needs and takes preliminary action. Works with calendars and scheduling to assist Director

  • Answers telephones, routes callers, takes messages and provides routine information to callers

  • Provides for and maintains department specific record keeping, logs, statistics or data bases. Maintains adequate office supply and equipment inventory. Ensures all office equipment is in good working order

  • Serves as a resource in assisting with software applications

  • Identifies and implements new processes to facilitate the flow of work through the department

  • Acts as the first point of contact for the department in regards to catering orders, doctors with lounge accounts, vendors, or other as assigned. Will take the first contact information and determine next steps or place orders per assigned process

  • Acts as the department paymaster, ensuring that time care is accurate and ready for review and submission. Maintains all department payroll logs, time care adjustments, etc

  • Coordinates special functions, projects, and activities as assigned
