USC’s Information Sciences Institute (ISI), (“Institute”), a unit of the university’s Viterbi School of Engineering, is a world leader in the research and development of advanced artificial intelligence, information processing, computing, cybersecurity, and communications technologies. ISI’s 400 faculty, professional staff and graduate students carry out extraordinary information sciences research at three distinct locations - Marina Del Rey, CA; Arlington, VA; and Waltham, MA.

*This position is located in Marina del Rey, CA, and is a 100% in-person role.*

The Institute is accepting applications for a Receptionist who will serve as the first point of contact for the Institute. The incumbent will provide excellent customer service and top quality administrative work for all constituents. This includes, but is not limited to: researchers, faculty, staff, students and special guests in a fast-paced environment. The incumbent must also be a self-starting, organized and effective communicator, as well.

Job Accountabilities:

  • Greet visitors and guests and collect all necessary information. Contact hosts to escort visitors to specific destinations, as needed. Maintain all visitor logs.
  • Answer incoming phone calls, screen and forward calls, take messages and deliver them to the appropriate person or persons.
  • Accept and sign for packages and if needed, have them delivered to the addressees.
  • Clean conference rooms after meetings and ensuring that the reception areas are always clean and in order.
  • Manage multiple calendars and schedule complex meetings with internal and external stakeholders.
  • Assist with event logistics, set up and break down.
  • Supervise student workers.

Required Qualifications:

  • Ability to multi-task and prioritize responsibilities while providing support to multiple faculty, researchers, graduate students and visitors
  • Sustain good to excellent attendance
  • Maintain composure and the ability to diffuse potentially intense situations
  • Proficiency in Microsoft Office Suite

Preferred Qualifications:

  • Associates degree with at least one year of Receptionist experience
  • Experience in an academic setting or research institute
  • Possess a can-do attitude, coupled with a continuous growth mindset
  • Experience with online connectivity platforms like Zoom, Slack and Teams
  • Ability to be resourceful and thrive in high pressure situations
  • Working knowledge of Concur, Workday, and other university systems is ideal

The hourly rate range for this position is $18.30 - $22.75.
