I run a dynamic and fun work environment to service clients primarily in the south Snohomish/North King County areas but have clients throughout both counties. I expect my team members to be able to function both independently as well as a team to coordinate and bring both client-based projects as well as listings to market. In-office work will be required at times, but the effective assistant can work from home as the position allows. Remote work cannot result in decreased productivity or availability to Broker. In a nutshell: I don't care where you work so long as the job gets done.

GENERAL POSITION SUMMARY:
Assistant will provide critical administrative and client support. You'll be assisting in servicing 30+ client transactions per year while also working on various marketing and client cultivation projects requiring a creative skillset with initiative. While is is a want and not necessarily a need of the position, if you love working on these types of things, it's all yours!

Importantly, you’ll be responsible for maintaining and updating the client database, tracking changes and monitoring transactions with high importance on servicing our clients with a POSITIVE ATTITUDE and a PROACTIVE customer service mentality with priority on ATTENTION TO DETAIL in all tasks.

This job relies on different processes. Assistant will be required to ensure that each transaction completes a specific process from start to finish. Work will vary from creating marketing flyers, prepping listings for sale, creating and executing Just Listed/Just Sold mailers, developing client appreciation events, special projects, etc.

This role enhances Broker's effectiveness by providing proactive calendar management, attention to detail on contract deadlines and obligations, consistent communication to clients and Broker to keep them updated on transaction status and brings proactive management of tasks and deadlines.

If you desire to do more client-facing work, there is opportunity to work as a Buyer Agent to show homes. An active real estate license will be required.

REPORTS TO:
Real Estate Assistant will report to a single Broker but will need to work with other in-office support staff (marketing, business, administrative) as well as 3rd party vendors (photographers, stagers, landscapers, etc.).

RESPONSIBILITIES & DUTIES:
Responsibilities encompass a broad range of skill sets and include, but not necessarily limited, to:

  • Electronic filing and organizing of transactions and related documents
  • Email communication management
  • Listing prep work for Seller clients (listings), including on-site prep work
  • Ordering and coordinating vendor work on-site (e.g. arrange sign and key box installation at listings, coordinate cleaners, stagers, etc.)
  • Communicate updates to clients
  • Maintain and keep database updated
  • Track and produce mailers on monthly basis
  • Attend home inspections as necessary
  • The ideal Assistant will be licensed with willingness and ability to hold Open Houses and/or show homes to Buyers on an as-needed basis.
  • Other duties as necessary

QUALIFICATIONS:

  • Natural ability to organize and prioritize tasks and projects.
  • High degree of attention to detail in all tasks
  • Ability to work independently with minimal instruction (though training and ongoing support will be provided)
  • Willingness to learn and innovate different processes
  • Experience in real estate is preferred
  • Effective communicator and thinker
  • Excels at organizational management

This position starts immediately. You'll be trained as needed. It will be a collaborative environment, but ability to work independently a must.

Hours: 30-40 hours per week but flexible. May evolve to more hours as needed and desired.

COMPENSATION:
$20-25/hr. starting depending on experience + bonuses.

LOCATION:
Office is in Lynnwood, WA. Prefer someone local. In-field work with access to a reliable, clean vehicle will be required. Mileage reimbursement is included.

REQUIREMENTS:

  • At least one (1) year experience in real estate or related field preferred
  • Real estate license will be required (already licensed applicants preferred)
  • Once you’re up and running, working from home is an option though applicant should expect to come into the office or go into the field on a regular basis and as required (mostly North King & South Snohomish counties as well as some Eastside).
  • Proficient with MS Office Suite, especially Publisher
  • Strong organizational skills and ability to take tasks to completion independently (self-starter)
  • Excellent time management skills and ability to prioritize work
  • Superior attention to detail and problem-solving skills with consistent follow-through is a must
  • Excellent communication skills with ability to respond timely to text, email, phone/voice mail.
  • Must have a reliable and fully insured vehicle (will be verified)
  • Must be able to track and meet contractual deadlines
  • Database management
  • Sensitivity to confidential information is required.
  • Ability to think on your feet and take action or flag issues to Broker as needed.
