Who we are: Since 2008, the Notre Dame International Security Center (NDISC) has provided a forum for national security scholars at the University of Notre Dame and elsewhere to come together to explore the most pressing issues in national security policy.

Through research, teaching, and public affairs programming, NDISC aims to connect policymakers and the public with the very best scholarship in the academy on issues of international security, broadly defined.

Who we need: We are looking for a detail-oriented team player with excellent organization and communication skills. A highly motivated individual with the ability to prioritize and meet deadlines.

The Program Coordinator is a key member of the NDISC team whose primary responsibility will be the planning and execution of events and programs along with other administrative tasks in support of the Center.
JOB DESCRIPTION:
Reporting to the Assistant Director of the Center for the Study of Languages and Cultures (CSLC), the Program Coordinator independently develops and implements engagement strategies for the center and the language departments that it supports. Key programs and responsibilities in the CSLC that the Program Coordinator would support include: Summer Language programs (SLA grants to study language and Foreign Language Internship), enrollment initiatives in partnership with the College or language departments, language and cultural awareness programs like Foreign Language Week, new student orientations, intercultural development trainings, English for Academic Purposes (EAP) courses for international community, CSLC-offered courses and Less Commonly Taught Languages and minors in TESOL and Linguistics, and Fulbright Foreign Language Teaching Assistant programs.

ESSENTIAL DUTIES & RESPONSIBILITIES:
CSLC Content Development and Production
  • Develop CSLC content to utilize and implement through social media, website, brochures & other print materials, internal communications (newsletter, annual reports, etc.) and communication activities
  • Implement CLSC styles and branding; work with the Arts and Letters communication team on branding within printed and digital materials and update as needed to ensure alignment with College and University branding requirements
  • Maintain and organize archives (Google Drive) of marketing materials including photos and videos from events that can be used in promotional materials and projects
  • Coordinate with Office Administrator to ensure the timely and cost effective print of materials throughout the year

Project Support
  • Collaborate with the Director and Assistant Director in the development and publication of the annual report
  • Collect program and initiative data throughout the year as needed
  • Keep inventory of and maintain CSLC technology relevant to programming (e.g. presentation laptops, recording microphones, clickers and cords for various A/V needs, cameras for event photography, language learning software, etc.)
  • Leads or participates in programming, working groups or designated committees that are relevant to the work conducted by the Outreach Coordinator

Student Supervision - Oversee and train a team of student workers-the Media Team-who work to support communications initiatives. Training on certain soft wares and programs may specifically include:
  • Using Basecamp for task assignment and management
  • Designing social media and printed marketing materials in Canva
  • Scheduling and managing social media posts in Meta Business Suite
  • Managing initiatives to recruit followers on Instagram including takeovers, contests, etc.
  • Planning and running semi-semesterly Media Team meetings
  • Interviewing/hiring new Media Team members when needed (with the help of the Office Coordinator)
  • Monitoring social media and website insights to use data to inform best practices

CLSC Engagement
  • Create and implement new engagement strategies that increase visibility of programs supported by and housed in the CSLC
  • Collaborate with the office of Communications at the College of Arts and Letters and communicate with liaisons in language departments for media campaigns

  • Other duties as requested by the CSLC Director and Assistant Director

Minimum Qualifications:
  • High school diploma or GED
  • 1 to 2 years of administrative experience
  • Excellent organizational skills, high level of attention to detail, ability to prioritize and meet deadlines, and excellent oral and verbal communication skills.
  • Must be proficient in computer skills and able to work with a number of standard software programs: Word, Excel, Google Suite, Gmail



Preferred Qualifications:
  • Familiarity with university administration and or academic administration
