The Program Assistant is responsible for assisting in the coordination and completion of assigned program duties. The selected candidate must be willing to receive training on, and master the ability to, conduct HbA1c and cholesterol tests, via finger-sticks. What you need to know
Position Details: The Work environment involves exposure to potentially dangerous materials and situations that require following extensive safety precautions and may include the use of protective equipment. In addition, travel is required. Must be able to travel to other locations. Light to moderate lifting required up to 25lbs. The individual in this position is required to handle Protected Health Information (PHI) as defined by HIPAA regulations in accordance with A&M System policy.
Please Note: May work a flexible schedule outside the regular business hours to include evenings and weekends.

Required Education and Experience
  • Bachelor’s degree or equivalent combination of education and experience
Required Knowledge, Skills, and Abilities:
  • Must be bilingual (English and Spanish)
  • Exhibit strong oral, written and listening interpersonal skills in Spanish and English
  • Knowledge of chronic illnesses
  • Knowledge in biometric collection functions
  • Ability to work beyond normal offices hours and/or work on weekends
  • Knowledge of word processing, spreadsheet, and database applications
  • Ability to take initiative with daily activities
  • Ability to work with sensitive information and maintain confidentiality
  • Ability to multi-task and work cooperatively with others
  • Ability to interact with the public, community organizations, and other agencies.
  • Strong organizational skills

Preferred Education and Experience:
  • Graduate of a Medical Assistant program
  • Previous work experience in the health care sector
  • Experience in performing finger-sticks to check blood sugar and lipid levels
  • Two years of related experience in public health, health outreach, and education
  • Experience in leading and conducting specialized trainings
  • Experience interacting/working with health care agencies and/or providers
  • Experience working with diverse individuals and communities
Preferred Knowledge, Skills, and Abilities:
  • Ability to work with diverse low-income population
Preferred Licenses and Certifications:
  • Texas Department of State Health Services (TDSHS) Community Health Worker (CHW) certification or ability to obtain certification within three months of employment
  • Current Medical Assistant Certification or Registration
Responsibilities:
  • Program Functions - Completes health screenings for Healthy South Texas Program participants, to include, but not limited to: HbA1c, cholesterol, blood pressure, hip and waist circumference, and body mass index (BMI). Cleans and sanitizes equipment and maintains screening rooms after each use. Conducts electronic intakes and assessments in specialized computer applications. Conducts initial and follow-up assessments, participant documentation and program evaluation functions in accordance with program and certifying entity guidelines. Completes data entry and compile reports. Assists with registration for classes, classroom set up, scheduling participants, and making calls. Assists during program events i.e., classes, presentations, Family Night, etc. Assists in identifying and recruiting speakers for program events i.e., Family Night. Assists participants with the completion of program documents to include pre and post-tests. Maintains attendance records and electronic charts for program participants. Communicates all necessary participant information to team members in a timely manner. Serves as a first point of contact for Healthy South Texas programs and coordinates responses to requests for program information. Creates, establishes, and maintains program files, databases, correspondence, and program materials. Prepares program correspondence. Maintains inventory to assist in the preparation of supply orders. Serves as a trainer for new hires within the program(s). Ability to conduct and lead specialized physical activity classes.
  • Coordination Functions - Assists in the coordination and completion of assigned program duties. Assists in coordinating logistics and travel for program seminars, workshops, orientations, and other special events. Assists to coordinate events with other entities within the University System. Maintains consistent communication with Program Administrators on program progress and community feedback. Assists those individuals seeking social and/or community support services via referrals. Assists with committee meetings and materials. May coordinate with IT and Facilities personnel regarding room usage and preparations.
  • Outreach and Recruiting - Serves as a liaison to other programs available at the Campus. Prepares and delivers special presentations in the community. Participates in health fairs, and in public speaking engagements. Works in the community to establish collaborative efforts. Promotes Healthy South Texas and its components at appropriate settings. Refers participants to the Medication Assistance Program and other programs. Recruit’s participants for events such as workshops, conferences, and health expos.
  • Program Proposal and Development - May assist with proposal development. May track and monitor program budget. May research and recommend changes to existing programs. May purchase program materials. May work a flexible schedule outside the regular business hours. Fosters a cohesive and collaborative work environment through open communication with Team members, seeking and acknowledging the opinion of others, and leading by example, attitude, character, and work ethic. Treats all co-workers with respect, fairness, and dignity. Performs other duties as assigned.
