Position Summary:

The clerk will be responsible for phone calls, mailing, faxing, scheduling and insurance authorizations for the respiratory department.


PRIMARY RESPONSIBILITIES

  • Take all phone calls.
  • Process U.S. Department of Labor Black Lung patients:
    • Collection of complete 413b documentation received from the U.S. Department of Labor.
    • Schedule patient with assigned provider.
      • Instruct patient of their responsibilities for their exam.
      • Mail patient instructions and medical history to complete.
      • Provide registration patients information so patient can be pre-registered.
  • Once exam has been performed:
    • Process and mail chest x-rays to appropriate radiologist.
    • Process chest x-rays once returned from the radiologist.
  • Copy completed chart, and give to medical records.
  • Once chart has been completed by the provider, mail completed chart to the U.S. Department of Labor.
  • Schedule patients to complete a U.S. Department of Labor Black Lung claims form.
  • Help the patient complete the claims form and mail it to the U.S. Department of Labor.
  • Receive orders for Pulmonary Rehabilitation
    • Obtain a prior authorization from insurance company.
    • Schedule patient to begin pulmonary rehabilitation.
    • Fax and communicate with ordering provider results.
    • Once patient has completed pulmonary rehab, give chart to medical records.
  • Receive orders for Sleep Studies
    • Obtain a prior authorization from insurance company.
    • Schedule patient for their sleep study.
    • Fax results to ordering provider.
    • Give completed result to medical records.
  • Perform all mailing and faxing, for these services.
  • Handle all telephone calls being mindful of HIPAA rules and regulations. Please use proper telephone etiquette. Give your location, name, and job title when answering telephone calls.
  • Order and restock office supplies as needed and maintains a clean work area.
  • Demonstrate knowledge of compliance with all hospital policies including those regarding the Hospital Compliance Program.
  • Demonstrate knowledge of registration and hospital policies and procedures.
  • Demonstrate a good working knowledge of hospital personnel policy and procedures with visual evidence of a positive attitude.
  • Demonstrates knowledge of role in Emergency preparedness.
  • Registration and admitting clerks will not secure vital signs, participate in patient care, nor relay test results to patients. Protect the confidentiality of the patient at all time especially in regard to patient information whether such information is verbal, written, or electronic.
  • Others duties as assigned.

PHYSICAL DEMANDS:

Ability to perform various motor skills such as; sitting and standing for long periods of time, walking, lifting (up to 10 pounds) using proper lifting techniques, stair climbing, reaching, bending, twisting, grasping and arm-hand coordination on a continuous basis. Employee will be required to work closely with computers on a daily basis (at least 7 hours per shift).

EDUCATIONAL REQUIREMENTS

It is desirable that this clerk have a minimum of a high school diploma or its equivalent. Basic computer skills are necessary. Being able to work with minimal supervision is a must. Must be able to display good judgment in an emergent situation and possess excellent communication skills with all staff. This clerk must be willing to assist, if needed, in other departments and demonstrate respect and cooperation of co-workers and supervisors. Clerks are accountable to department director.
