The Operations Associate/Office Coordinator will work to support and manage office operations. The role will oversee the day-to-day office administration, support the upper management in everyday tasks, scheduling meetings, handling major clients, and helping with projects passed on by the head of operations. The ideal candidate will have excellent attention to detail and the ability to work in a fast-paced environment and simultaneously manage multiple projects. They should also be technically savvy and able to learn new systems and software. The position is suited for someone that is attentive to rapid turnaround, deadlines, and follow-up. That person must be solution focused with the drive to go above and beyond ensuring completion of time sensitive tasks. The ability to multi-task is crucial

Responsibilities:

  • manage contracts and enter contacts into Salesforce/contract management system
  • Order equipment and supplies for employees
  • Respond to Major Clients. In this position you must be able to respond to all major clients by email or phone. Whether this means contracts, invoicing or scheduling. The applicant must not be intimidated by doing so.
  • Enter new contracts and sales in our system and prepare for new installs and service.
  • Complete service invoices for clients using Quickbooks
  • Entering customers, vendors, sales and bills into Quickbooks.
  • Provide reports to the management and sales team as requested.
  • Responding to emails, quick response to complete requests

Requirements:

  • Applicants should have good computer skills along with good communication skills.
  • Generate accounts receivable daily/weekly check log
  • Provide general administrative support
  • knowledge of Microsoft Word, Excel
  • Knowledge of Quickbooks is preferred but not necessary.
  • Strong organizational skills
  • Customer friendly and a team player

Ability to work 9:00am – 5:00 PM, with flexibility to work overtime as needed.

Ability to work one or two Saturdays a month if required.

Ability to work in a team environment and effectively interact with all levels of the organization.

Excellent communication and organizational skills with strong attention to detail.

Works well in a fast-paced environment: ability to prioritize, perform with high accuracy, and meet tight deadlines.

Job Type: Full-time

Pay: From $20.00 per hour
