HUMAN RESOURCES ADMINISTRATIVE SPECIALIST

REPORTS TO: Human Resource Manager 

LOCATION:    Des Moines, IA  

POSITION OVERVIEW

The Human Resource Administrative Specialist leads the HR and general office support functions and ensures exceptional customer service for guests and visitors of Keystone Electrical Manufacturing. A successful incumbent will possess extraordinary customer service skills, attention to detail, discretion, and good judgment.

DUTIES AND RESPONSIBILITIES 

  • Maintain an organized lobby and provide a positive first impression to employees and all visitors
  • Manage required entry logs, oversee welcome procedures for customers, visitors, and new employees
  • Process all main line incoming calls for the business and facilitate communication within the company
  • Process mail including but not limited to sorting, processing outgoing mail, UPS delivery management, and label printing
  • Manage inventory of office supplies
  • Assist job applicants with the application process. May perform phone screens from time to time.
  • Assist with employee attendance tracking
  • Data management support for Human Resources and Payroll teams including but not limited to new hire information entry in timeclock, benefit enrollment, and OSHA log maintenance and reporting.
  • Oversee the development and updates for all position descriptions. Work with hiring leaders to complete success profiles if applicable.
  • Serve as the main contact for any third-party staffing agencies.
  • Field benefit and other HR-related questions for employees
  • Oversee the completion of all new hire and termination paperwork. Ensure timely and accurate execution.
  • Process unemployment claims with the State of Iowa
  • Oversees office equipment maintenance and repair. Coordinates support and troubleshooting as needed
  • Prepare onboarding materials weekly
  • Create and maintain employee filing system
  • Oversee shared space and conference room management
  • Serve as point person for work-related lunch orders and support administrative tasks for employee special events
  • Assist with other projects and areas as needed

EXPERIENCE & EDUCATION

  • High school diploma or equivalent (required)
  • One to three years’ experience in a Human Resources support role (required)
  • Associates degree or bachelor’s degree (preferred)

SKILLS

  • Proven ability to think critically and use data to make sound decisions  
  • Track record of influencing others and working together to achieve common goals 
  • Strong problem-solving skills with demonstrated ability to find root cause 
  • Functional computer skills including MS Excel, Word, Outlook, and Project 
  • Excellent oral and written communication skills 
  • Proven organizational, and planning skills

Job Type: Full-time

Pay: $18.00 - $20.00 per hour
