EVANGELIZATION & MISSIONARY DISCIPLESHIP ADMINISTRATIVE SUPPORT COORDINATOR
Job Summary
The Evangelization & Missionary Discipleship (EMD) Administrative Support Coordinator reports to the department director and will perform complex and highly specialized administrative and coordinating duties. Responsibilities involve a high degree of independent judgment and confidence.
Duties/Responsibilities
  • Assigns lead responsibilities to the administrative support staff within the department.
  • Coordinates all administrative support staff to ensure the administrative needs of the department are being met, including support for each of the offices within the department.
  • Prepares check requests for payment of department expenses.
  • Prepares invoices, reports, memos, letters, financial statements, and other documents, using various Microsoft suites, data base, spreadsheets or presentation software.
  • Assists in implementing processes for speaker approvals, Lay Spiritual Mentor’s approval, and collaborates with the Department of Mission Development & Advancement for request for sponsorships.
  • Processes requests from priests for confessions at events.
  • Serves as point of contact with sponsors and maintains good communication for a positive relationship with them.
  • Active involvement with restructuring of EMD department MS TEAM/SharePoint digital file channels.
  • Prepares correspondence, letters and memoranda including confidential materials.
  • Schedules meetings, conferences and appointments and maintains appointment calendar for the director.
  • Orders and maintains an adequate inventory of office supplies, forms and equipment.
  • Prepares and processes confidential materials for directly and department.
  • Assists with the department budget when needed and processes check requests and expense reports.
  • Prepares, reviews and compiles reporting information, verifies data for accuracy, completeness and compliance with established procedures.
  • Assists with special assignments, projects, meetings/events through coordination and administration.
  • Assists the Director of Evangelization and Missionary Discipleship with the transition from MSP for Family of Parishes (FOP) to the EMD department.
  • Coordinates travel arrangements for international speakers; may involve verbal interpretation, sight translation of documents and knowledge and understanding of Immigration law requirements.
Required Knowledge/Skills/Abilities
  • Good oral and written communication skills.
  • Strong customer service skills.
  • Strong MS Office Suite and computer skills.
  • Ability to type at least 50 wpm with accuracy.
  • Strong organizational skills with ability to work independently and handle multiple projects at the same time while paying attention to details.
  • Must be punctual, reliable, and conscientious.
  • Must have excellent grammar, spelling, punctuation, and composition skills.
  • Strong Spanish language skills a plus.
Education and Experience Requirements
  • Associate degree in Secretarial Science, General Business or equivalent required.
  • Minimum 3 years’ experience as an administrative assistant required.
Physical Requirements
  • Prolonged sitting and working at a desk with repetitive motion working on a computer.
  • Must be able to lift up to 15 pounds at a time.
  • May involve some standing, bending, and walking.
Travel Required
  • Must have reliable transportation and ability to travel throughout the Archdiocese of Detroit.

  • Must demonstrate understanding, respect and support for Catholic Church teaching, mission and values.
  • Must maintain strict confidentiality regarding any archdiocesan information gained within the Archdiocese of Detroit especially highly sensitive material such as protected Personally Identifiable Information and financial information.
  • Must be able to receive formal appointment as an ecclesiastical notary under Canon Law.
  • Knowledge of the Roman Catholic faith, its institutions, policies and practices a plus.
  • Must have a valid driver’s license and safe driving record.
