Summary

The Academic Services Office (ASO) in the Department of Mechanical Engineering (ME) is looking for an admissions and recruiting specialist for our graduate programs. ME is a large department with more than 850 undergraduate students and around 500 graduate students; plus 72 tenured and tenure-track faculty, 19 research faculty and lecturers, and 55 staff. The ASO provides student and faculty support for the administrative aspects of our students’ curricular and co-curricular experiences. Responsibilities*

Admissions and Recruiting

In collaboration with the associate chair for graduate studies and the student services manager, coordinate and execute the recruiting plan and admissions process for all of ME’s graduate degree programs. Including:

Admissions Administration (30%)

Prepare annual applications to three graduate degree programs in ME. Process all admissions decisions, acceptances, deferrals, and withdrawals. Track and send application fee waivers. Maintain admissions content on ME website. Solicit and track faculty-funded admissions offers for admitted doctoral students. Track and enter into M-Pathways all first-year fellowship packages. Assist the associate chair for graduate studies in maintaining the fellowship budget for each incoming doctoral cohort.


Graduate Recruiting (25%)

Lead, coordinate, and execute all recruiting efforts for three ME graduate degree programs. Attend national and local conferences to talk with prospective applicants. Coordinate current students and faculty to join in the recruiting process. Answer all questions from prospective applicants. Organize all aspects of the visit/preview events for prospective and admitted students. Collaborate with ME’s marketing and inclusion managers to create and maintain dynamic recruiting content on the ME website and in social media streams. Coordinate an industry-sponsored scholarship program. Collect data for annual career outcomes survey. Coordinate ME’s participation in two College of Engineering programs: the summer undergraduate research program and EMERGE preview weekend event. Use data to evaluate success of programming and initiatives.

Advising and Student Support (25%)

Meet with and answer emails from students in ME’s SUGS (Sequential Undergraduate/Graduate Studies) and Master’s programs to answer questions and work through problems related to educational needs and academic performance. Work with students on degree requirements, course selection/registration, credit transfer, and exceptions, as well as routine letter requests. Track and monitor student progress/outcomes, as needed. Anticipate students’ needs for referrals to departmental and campus resources, with an emphasis on campus wellness resources. Proactively assist SUGS students with the application process and sequential degree requirements.

Program Coordination (20%)

Work with others on the ASO team to create an inclusive service-oriented environment for a multicultural student body.

In collaboration with ME’s student services manager and graduate program coordinator, support administratively the associate chair for graduate education. Prepare information, data, materials as requested. Coordinate on chair-led initiatives including forums, workshops, and programming. Organize student-centered departmental events, including scheduling rooms, speakers, catering.

Work as part of the team to maintain, organize, retrieve, synthesize, and report student-related data for surveys, milestones, and evaluation reports. Collaborate with the ME communications team to promote departmental student awards, courses of interest, and job opportunities. Coordinate with industry partners requesting on-campus events for interviews or information sessions. Create itineraries, flyers, email reminders via Constant Contact and social media as needed. Serve as team backup for reserving classrooms and conference rooms. Assist with maintaining ME web pages and student handbooks. Process administrative forms for students and faculty, as requested.

Required Qualifications*

Minimum qualification: bachelor’s degree and one to two years of experience in the field of student services for Intermediate level. Three to four years of experience for Senior level.

Desired Qualifications*

Desired qualifications: Master’s degree in higher education administration, student affairs, or another related field. Intermediate experience with creating, maintaining, and using spreadsheets to track detailed information.

Underfill Statement

This position may be underfilled at a lower classification depending on the qualifications of the selected candidate.

The salary range for the Student Admin Asst Senior title is $51,000 - $60,000.

The salary range for the Student Admin Asst Intermediate title is $43,000 - $50,000.

Background Screening
