REQUIRED QUALIFICATIONS:
  • High School Diploma/GED and four years of related office experience including at least 1 year of customer service experience
  • Experience in administrative support or customer service in an office setting
  • Demonstrated ability to make decisions, problem solve and work with members/volunteers
  • Demonstrated ability to organize work and perform multiple tasks
  • Excellent communication skills, both written and verbal
  • Demonstrated commitment to excellent customer service, professionalism, and integrity

WORK DAYS/HOURS: Monday to Friday, 30 to 40 hours per week (is negotiable).

WORK MODE: The person in this position will work mostly remotely but has to be located in the Twin Cities area to be available to to meet in-person with Association staff as well as maintain the off-campus storage

The Administrative Specialist primarily is the first point of contact for membership related needs, registration systems, and will provide support for programs, events, and meetings. This position will require occasional travel on overnight trips to attend events and flexibility to conduct work on evenings and weekends. This position will be remote that is based in the Twin Cities area with the expectation to meet in-person with Association staff as well as maintenance of the off-campus storage.The Administrative Specialist will report directly to the Associate Director of Membership Engagement and Operations.

This is a 75% to 100%, 12-months continuing Labor Represented position (classification 1885, Exec Office and Administrative Specialist).

ESSENTIAL RESPONSIBILITIES AND DUTIES:

Office Operations (30%):

  • Manage daily operations including administrative tasks, front desk, and customer service needs
  • Oversee accounting functions within the AMS ncluding those necessary for auditing, budgeting, financial analysis, and reporting in accordance with generally accepted accounting principles, Board policies and procedures and other applicable guidelines
  • Ensure data accuracy with NODA records and make recommendations to improve effecienty and effectiveness regarding NODA's technology needs
  • Manage NODA storage and track inventory
  • Track online store orders and mailing/shipping as needed

Education ad Events Support (30%):

  • Manage current and historical records for all programs, events, and membership
  • Oversee, manage, and implement NODA scholarships and awards and volunteer recognition programs
  • Manage the NODA internship program including steps, training, timelines, evaluation and communication schedule
  • Coordinate the webinar program schedule and implement the technology needs and training presenters

Member Services (30%):

  • Daily management of Association databases and technology platforms
  • Oversee membership registration and forms and maintain membership database
  • Communicate and respond to members' needs and public inquiries
  • Assess membership services providing recommendations for enhancements

Administrative Duties (10%):

  • Maintain and update the Association governing documents to reflect changes as approved by the NODA Board of Directors
  • Coordinate and prepare reports as requested for the Executive Director, Executive Committee and Board of Directors or other leadership and staff
  • Assist with meeting set up as requested by the Executive Director
  • Other duties as assigned
