Job Description
GENERAL STATEMENT OF FUNCTION:
Serves as general office administrative assistant to the Dean of Teaching and Learning, School Chairs, and Academic Faculty.

Job Duties
1. Produce letters, reports, and minutes from rough drafts utilizing word processing skills.
2. Prepare semester electronic schedules using BANNER, including data input and student registration.
3. Prepare instructor/adjunct contracts, overload cover sheets, and overload spreadsheets.
4. Compile, input, and maintain data for college, state, and federal reports.
5. Responsible for all tasks involving academic departmental copy machines (i.e., assigning codes for academic personnel, reporting monthly copy counts to vendor, etc.).
6. Fulfill requests from the MGCCC administrators, school chairs, and faculty.
7. Maintain an accurate and complete filing system.
8. Maintain employment records for faculty.
9. Prepare specifications for quotes and bid tabulations as required.
10. Process purchase requisitions, check requests, procurement card reports, travel requests, activity forms, leave forms, etc. as required.
11. Purchase supplies and equipment and maintain detailed record of purchases.
12. Maintain effective working relationship with college personnel, students, and the community.
13. Handle communication via telephone, emails, in-person interactions, etc. with internal and external stakeholders in an effective, courteous, and professional manner.
14. Arrange for college vehicles, transportation, reservations, and lodging requirements, and travel reimbursement as requested.
15. Upgrade skill level and performance through employee development by completing 15 hours of Employee Development training annually.
16. Demonstrate exceptional adherence to work schedules and policies.
17. Process procurement card purchases. Prepare and check procurement card statements for accuracy.
18. Develop and maintain Excel spreadsheets.
19. Prepare and maintain accounting ledger for each account assigned.
20. Maintain inventory for School Chairs in the Teaching and Learning division.
21. Verify and monitor college budgets for accuracy.
22. Assist students as needed.
23. Perform other duties as assigned.

Mandatory Qualifications
(M1) A minimum of an Associate Degree from an accredited higher education institution.
(M2) Proficiency using Microsoft Office suite.
(M3) Effective written and verbal communication skills.
(M4) Superior customer service skills.
(M5) At least two years of recent office work experience.

Desirable Qualifications
(D1) Bachelor’s Degree.
(D2) Experience in making purchases and related activities.
(D3) Experience with inventory system.
(D4) Experience using Banner Software.
