Job Description

The Administrative Assistant will perform a variety of specialized departmental clerical duties within the assigned department.

Position Information

Position Code: PR3013

DBM Grade: B21

Current County Employees will follow the County Promotion/Demotion Policy.

Responsibilities

  • Types lists, writs, and other documents required by the department
  • Assists attorneys and customers at the counter
  • Answers telephone and takes messages or transfers calls to proper individuals
  • Compiles trial lists from information provided by attorneys
  • Prepares and processes required department documents, forms, and reports as required
  • Assists in selecting jurors and processing Judge's Orders for civil court
  • Opens and processes mail
  • Dockets and/or expunges cases when required by department
  • Receives and processes UCC filings and secured transactions
  • Prepares and processes appeals to higher courts, exemplified records, etc.
  • Reviews, signs, and seals subpoenas
  • Completes passport applications and mails to passport office
  • Maintains accurate files or other confidential department documents as requested and as necessary
  • Prepares billings or other documents and reports as required within department
  • Finalizes divorce documents before sending to Court Administrator’s office for Judge to sign
  • Assists with the Jen and Dave Hotline Arbitrators
  • Attends meetings and/or training sessions as required
  • Assists staff with clerical duties in absence of other clerical staff members or as needed
  • Accesses and maintains records in storage
  • Performs other job related duties as required


Qualifications

  • High school diploma or equivalent, operating knowledge of Microsoft Office (Word, Excel, and Access), and strong customer service skills
  • 2-3 years of working experience in an office environment, county government, or court system; or any acceptable combination of equivalent training and/or experience
