Job Description

Summary:

We are seeking an organized, experienced, and self-motivated Administrative Assistant for our Corporate Headquarters in Bridgeview, IL. In this role you will support the National Division General Manager, Directors and Sales Team. In addition to general administrative tasks, you may help with reporting, travel, client portals, etc. Additional duties and specialty projects may be assigned as well.


Responsibilities:

  • Arrive and work from office each day Mon-Fri.
  • Accurately produces sales reports and correspond with the necessary Sales personnel as needed.
  • Maintain, correspond and work with teammates to update and proactively deliver pertinent information to customers through their third party portal systems. This includes quote requests, ETA's, Proposal submission, schedule dates, reschedule events, etc.
  • Record, manage and execute customer guidelines as it relates to their third party portal processes.
  • Answers telephone promptly and in a professional, courteous manner and records messages when appropriate.
  • Other duties as assigned.

Requirements:


  • Must be able to follow instructions and directions to perform job tasks.
  • High School diploma or equivalent along with Business School courses or certification preferred.
  • At least two years relevant experience, preferable in the construction industry
  • Demonstrates excellent skills in producing correspondence and documentation, organizing records, filing and answering telephones.
  • Possesses excellent command of English language including both verbal and written skills.
  • Demonstrates proficiency in operating personal computers and performing routine calculations.
  • Must be comfortable with hands-on work environment.
  • Proficient in Microsoft applications including Word, Excel, and Outlook.
  • Previous experience with Concur, Dropbox, PDF, Google Drive and OneDrive a plus
  • Previous experience with Microsoft Dynamics is a plus.


This highly visible position will require a professional phone presence and excellent customer service skills. Good organizational skills, precise attention to detail and follow up capabilities are a must. Proficiency required in the use of Microsoft Windows applications: Word, Excel and Outlook.
