Job Summary

Working as part of the Financial Office team and with constituents from many departments at Harvard Business School (HBS), the Accounting Assistant is responsible for several aspects of HBS’ financial management, including accounts payable, travel reimbursements, compliance and administration.

Position Description

  • Processing invoices, expense reimbursements, fellowship and award payments
  • Portal management for new suppliers
  • Audit and reconciliation of credit card accounts
  • Deposits of cash receipts
  • Preparation of accounting journal entries
  • Website maintenance and editing
  • Customer Service
  • Managing the CFO’s and senior leadership calendars Support and coordination for office administration
  • Contract administration
  • Provide backup to other Financial Office roles – Accounts Payable, Expense Reimbursements and Payroll
  • Auditing, digitization and special projects as assigned
  • Responsible for other duties as assigned

Basic Qualifications

  • HS Diploma, GED or equivalent is required
  • Accounting or business training beyond high school is required
  • 3 or more years of related experience is required
  • Education beyond high school may count toward experience

  • This position requires a team player who enjoys and excels at providing high quality customer service
  • Strong communication (both oral and written) and interpersonal skills are essential
  • Candidates must have an excellent attention to detail, a problem-solving attitude, and strong organizational skills
  • Proven proficiency or ability to become proficient with a variety of systems and software packages including Excel, Word, PowerPoint, Oracle Financial, SharePoint, and other web-based applications.
  • Prior accounts payable processing experience
  • Ability to effectively juggle multiple priorities
  • Must be able to work well as part of a team while also being able to work independently and take initiative

Additional Information

This role is offered as a hybrid (some combination of onsite and remote) where you are required to be onsite at our Boston, MA based campus 2-4 days per week. Specific days and schedule will be determined between you and your manager.

We may conduct candidate interviews virtually (phone and/or via Zoom) and/or in-person for this role.
