Shift: Mon - Friday 8AM-5PM

Pay Range: $22.00 - $25.00/hr

This position is responsible to support and coordinate activities related to delivery of workplace experience services for clients, including administrative support for teams managing and directing services.

Duties and Tasks:

· Welcomes tenants/employees and announces clients, applicants, and visitors.

· Responsible for ensuring meeting rooms, pantries, and collaborative spaces are always up to standard, including proper setup, functionality of equipment, and stocked supply inventory.

· Maintain events’ calendar, and make sure they are up to date.

· Responsible for communicating required facilities support to appropriate parties.

· Responds to all colleagues’ requests and complaints promptly via email and face to face communication in a friendly and professional manner. Maintains accurate records of service requests and status.

· Perform multiple site walk-throughs daily to proactively locate workplace issues while also interacting with employees for feedback and ensuring all issues, questions, and concerns are addressed with follow-up and closed.

· Continually maintains neat appearance of reception/lobby area, conference rooms and other common areas. Serves as point-of-contact and/or extension of the facilities team as representative of the Experience team. Requests building and housekeeping services as needed.

· Supports with meeting and events tasks as assigned with scheduling, stocking and coordinating setup conference/meetings rooms and catering.

· Arranging for meeting equipment (i.e., projectors, video/web conferencing), ensuring equipment is in good operating condition for events.

· Coordinating the badge requests with security team.

· Facilities management activities such as:

a. Cover the Front Desk in Receptionist absence, break and after their hours.

b. Help with administrative work, including but not limited to PO, WO, signage, photocopying, name tags, …

· Follows security and emergency procedures as defined for the property. Responds to emergency situations in a calm, efficient manner.

· Maintains a file of services including transportation sources, and referral contacts.

· Performs other duties as assigned

Qualifications:

· HS Diploma or GED required. Bachelor's degree or professional hospitality accreditations preferred.

· Prior Customer Service experience required.

· A minimum of 1 year of Front Desk, Concierge, customer service or other hospitality experience.

· Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.

· Comfortable meeting and engaging with new people.

· Warm and engaging demeanor and has the ability to assess circumstances, empathize and offer help.

· Utilizes a high level of attention to detail as well as strong interpersonal skills.

· Has a positive attitude and a strong sense of urgency in resolving any issues that may arise.

· Experience with Microsoft Office Suite, handheld mobile technologies and applications.

· Good organizational and strong problem-solving skills. Highly adaptable and flexible.

· Ability to work independently with little supervision.

· Ability to work flexible work schedules based on office needs.

· Ability to work requiring significant mobility such as work in a standing position for long periods of time. Ability to reach, bend, stoop, push and/or pull and frequently lift up to 20 lbs. and occasionally lift/move up to 40 lbs.

· Standard working hours 8.30am-5pm

· Professional work attire

· Occasional over time
