We are actively seeking a full-time Administrative Assistant/Tax Processor to join our growing firm located in Parsippany, NJ.

Summary:

The ideal candidate will provide administrative and office support to multiple Partners and staff of the Firm, primarily in the NJ office while providing backup to the NY CSAs when necessary.


Essential Duties and Responsibilities:

Responsibilities:

  • Print, process and assemble tax returns and distribute to clients and various governmental agencies. Typing appropriate correspondence and instructions to client. Utilize Sax Portal and SafeSend Returns to electronically deliver returns whenever possible.
  • Process tax returns through E-file system; release returns through E-file system by managing the client return of signed forms; following up with clients whose forms are delinquent.
  • Follow up with Partners on filing rejections or errors.
  • Save all returns, documents and forms to the Firm’s document managing system (GFR). Routing workflows when appropriate.
  • Provide client support with questions about the Sax Portal and SafeSend Returns.
  • Process and finalize assigned Partners monthly billings and retainers.
  • Process 1099s and W-2s for clients utilizing firm software.
  • Releasing and tracking A&A and Tax Arrangement Letters through SafeSend to obtain e-signatures.
  • Responsible for answering incoming firm calls that flow through Reception Board to the CSA hunt group.
  • Proofread and format all types of correspondence for assigned Partners.
  • Sort mail and create barcode pages for source documents to be scanned.
  • Prepare outbound mail and FedEx packages.
  • Handle client calls and emails to establish a close rapport with clients.
  • Schedule meetings for Partners and notifying participants.
  • Required to attend meetings of Industry Service groups led by Partners you support and take minutes where necessary.
  • Greet clients at Reception, guide them to conference room/office, and provide refreshments as requested.
    • Business Casual attire is required at all times; no jeans, no sweatshirts, no sleeveless shirts, no sneakers, no flip-flops.
  • Assist assigned Partners in special projects.
  • Provide Partners a weekly update of all outstanding and/or requested items.
  • Support assigned Partners in all administrative tasks.
  • Support non-assigned Partners and staff members when needed.
  • Provide training to new hires on Firm procedures as requested.


Qualifications:

Maintains confidentiality in all aspects of position. Maintains the ability to use grammatical, spelling and punctuation skills effectively. Must have excellent organizational skills and the ability to multi-task. Possesses excellent interpersonal skills as well as a cooperative and dependable personality.

  • Proficiency in Microsoft Office, specifically Word, Excel and Outlook, is required.
  • Experience with GFR and CCH Axcess is preferred.
  • Expected workweek is 37.5 hours, 8:30am-5:00pm Monday – Friday.
  • Vacation blackouts, OT and availability on Saturdays required from Feb. 15th – April 15th, and Sept. 1st – Oct. 15th.
