JOB SCOPE:
Responsible for supporting Chief Marketing Officer and marketing team in financial and initiative tracking to drive marketing goals and meet business objectives.

JOB SUMMARY:
The Sr Administrative Assistant for Marketing is responsible for tracking marketing finances across multiple business units. This role will also support the Chief Marketing Officer in administrative day-to-day tasks along with support for Hispanic marketing efforts across the marketing organization. The senior administrative assistant should be comfortable working in a fast paced environment and driven to support the team succeed as a whole.

Responsibilities/Skills/Experience Requirements

JOB DUTIES/RESPONSIBILITIES:
  • Tracks marketing finances across all channels and business units
  • Reviews marketing expenses compared to budget, including tracking of forecasted spend against actual, and reports out and alerts marketing leaders of over/under budget
  • Reviews for all invoices for marketing vendors to ensure spend is aligned with forecasted goals, processes payments in accordance with terms and conducts reallocation discussions for spend when the need arises
  • Assists marketing team with initiative tracker to ensure forecasted returns are included, tasks are updated and follow ups are coordinated
  • Supports Chief Marketing Officer with system access approvals, corporate credit card spend approvals, calendar management and miscellaneous tasks as assigned
  • Supports marketing team with Hispanic marketing efforts in continental United States and Puerto Rico by interpreting and translating marketing materials
  • Performs other duties as assigned

JOB REQUIREMENTS:
  • High school diploma or equivalent
  • 1-2 years of related experience
  • 16 years of age or older

REQUIRED SKILLS:
  • Proven experience in an administrative assistant role or similar experience
  • Must have intermediate experience using Microsoft Excel, Word and PowerPoint with ability and desire to learn other computer programs and systems
  • Must be able to speak, read and write in Spanish to interpret and translate
  • Excellent written and verbal communication skills
  • Must be detail oriented and possess problem solving, analytical, time management and organizational skills
  • Must have the desire and ability to learn computer systems quickly and be comfortable interactive with all levels or management across the company

PREFERRED SKILLS:
  • Knowledge of accounting/finance reporting
