What we are looking for?

FACILITIES MANAGEMENT:
Ensuring upkeep of office spaces in the US, end to end. Execute Repairs and Maintenance regularly, at scheduled intervals to make sure everything is functional. Handle ad hoc issues with relevant building management till resolution.

Identify New office spaces, compare options and help Management choose the right space as per organizational/Project requirements. Source Vendors/Products to set up new office spaces as per project requirement.

Manage company owned and rented Guest houses and ensure everything is functional and the place is livable.

Deal with FedEx domestic/International shipment from office locations : tracking of packages and assets, raising a ticket with FedEx for lost or damaged packages and claims processing thereof.

CLIENT SERVICING:
Liaise with the Manager requesting support, for logistics, reservations, gifting, onsite and offsite.

TELECOMM DELIVERABLES

Managing Company paid Mobile Connections, activation/deactivation of connection or facilities as per requirement, processing Invoices to Finance for payments and consistent analysis of new features and tariff rolled out for corporates and direct consumers.

FINANCE DELIVERABLES:
Track all Company Credit card expenses issued to Admin reps with relevant details and make sure payments are done within the deadline with necessary approvals

Lease negotiations for renewal at office spaces and Corporate apartments

Liaise with In house counsel on leases for new office spaces.

EVENTS AND PROJECTS:
Coordinate with Suppliers/Vendors for organizing Corporate Events : Photon World as per directions from Management.

Coordinate with Private Jet operators and ensure right flight operators are chosen at the right price point with all required facilities

Coordinate with Account Managers for Client events off site. Travel to said location to execute the corporate initiative. Negotiate with vendors / suppliers for organizing

ADMIN TEAM MANAGEMENT:
Check in with Admin reps reporting into this position

Initiate Goals, deadlines, provide adequate training and guidance for team members and ensure they deliver company objectives.

Develop and implement policies and procedures to improve operations and function of the department.

IT DELIVERABLES:
Provide support to the IT team to troubleshoot or set up VC equipment at both office and Corporate apartments.

Manage Company Assets such as Laptops/Mobiles/Tablets/Gadgets and ensure all are delivered and returned to and from employees safely with proper tracking.
