Overview: The Billing Coordinator II will provide customer support for government and special accounts in the Business Imaging Communications Group (BICG). The person in this role will be responsible for billing of the equipment and service for these accounts, in addition to assisting with customer inquiries. This position is full time and offers a hybrid work schedule requiring you to be in the office Mondays and Wednesday and an option to work from home the remainder of the week (unless a specific business need arises requiring in office attendance on other days). Note that work schedules and office reporting requirements may change from time to time based on business needs. Responsibilities: - Provides administrative support in the Billing process (meter readings, product installs, order processing). - Maintains database by entering, updating, and retrieving data, as well as formatting and generating reports. - Assists in resolution of outstanding invoice problems from past due accounts. - Responds to inquiries from customers or external collection resources. - Processes orders for designated account(s) that are too complex for region or requires special attention verifying product availability in warehouses. - Reviews installation reports and verifies information to ensure that customer purchase order corresponds to customer contract pricing. Interacts with regional order department to assist and resolve order processing errors/inquiries. - Calculates and processes customer invoices and dealer credits on various PC programs, utilizing established formulas and conforming to Account Agreements to determine accurate billing of rental and purchase equipment. - Reviews accuracy of daily billing reports, researching and correcting inappropriate charges before release of invoices to customer / dealers. - Interacts closely with customers, dealers and Account Representatives, applying customer service skills to investigate billing inquiries. - Verifies with contract and credit department, the need for billing corrections. - Provides training to new employees and assistance to peers for the resolution of unique billing problems or complicate procedures. - Formats and provide special billing to customers not available on current computer system. - Provides sales personnel with information concerning specific Account details. - Attends meetings at customer location when required in order to provide direct support and response to inquiries. - May place calls or send messages to those with unresolved issues. Determines methods and procedures on new assignments. - May provide guidance to other nonexempt personnel. Qualifications: Please note: We comply with all applicable federal, state and local laws, regulations, orders and mandates, including those we may be required to follow as a federal government contractor/subcontractor. - Typically requires general education and/or vocational training plus 1 to 2 years of related experience. - Order processing/customer support experience preferred. - Advanced skills in the Microsoft Office applications (mainly Excel). - Excellent interpersonal, written and oral communication skills. - Detail oriented, strong time management skills; able to manage multiple assignments with varying deadlines. - Self-directed and able to work with a team.
