Position Overview

The Senior Associate is an integral member of the Strategic Planning and Incubation team and supports organizational strategy development and operational effectiveness for the UN Foundation (UNF). The Senior Associate will help support a variety internal consulting services across UNF and Pan-Foundation projects. They will support on operational processes improvement, financial and operational analysis, organization wide strategy processes, and some grants management. The Senior Associate, Strategic Planning and Incubation reports to the Director, Strategic Planning and Incubation and works closely with teams across the UN Foundation, including programs, alliances, and initiatives, as well as other key operational departments.

This position is based in Washington, DC. (Hybrid schedule)

Essential Functions

  • Help project manage and coordinate UNF’s project to develop SOPs, policies, and procedures, in close collaboration with the Director, Strategic Planning & Incubation.
  • Provide extensive project administration services, data analysis, and/or research as it relates to cross-functional and/or Pan-Foundation projects, initiatives, and/or proposals, as assigned by departmental leadership. Projects may include, but are not limited to, supporting UNF’s operational trainings, intranet migration, procurement site, monitoring & evaluation tools, and others.
  • Support UNF’s business planning/ strategic planning process, including updating templates regularly, liaising with teams to ensure deadlines are met, assisting teams with drafting plans or answering questions, reviewing teams’ plans, preparing annual and semi-annual summary reports and presentations for leadership, and ensuring accurate and relevant information is provided for departmental and executive leadership.
  • Help facilitate strategic planning discussions with teams as requested, to help teams flesh out objectives, goals, tactics, KPIs, and key issues during their planning cycles.
  • Support the execution of UNF’s risk management process including populating the pan-foundation risk register, reviewing and assessing risk management policies and processes and implementing modifications and improvements, convening and facilitating sessions with the risk management task force, and preparing risk reports for executive leadership.
  • Run the administration, logistics, and facilitation of UNF’s data governance committee and related taskforces, supporting on project management, note-taking, scheduling, agendas, and other duties as needed.
  • Onboard and train key staff as needed to relevant UNF operational processes, including but not limited to business planning, risk management, due diligence, data governance, donor compliance, and others
  • Support the identification of opportunities to improve UNF’s organizational effectiveness and support initiatives to increase organizational efficiency and effectiveness
  • Support conceptualization, execution, and review of cross-cutting UNF strategy
  • Maintain excellent database knowledge and management skills as it relates to UNF’s core operational systems, including Salesforce and SharePoint, in order to act as a key point of contact and resource for teams and extract key information and reports
  • Help manage budgets as needed, including analyzing financial information to ensure operations are within budget, update actuals from relevant journal entries, update forecasts, identify variances, present budgets to program or project leadership, prepare donor reports, and ensure budgets are in compliance with donor or programmatic plans
  • Draft and execute UNF agreements and payments relevant to the Strategic Planning & Incubation team and attend relevant agreement and Salesforce trainings as relevant
  • Support UNF’s due diligence process as needed, including drafting reputational risk memos, and reviewing reputational risk memos and making recommendations to leadership
  • Provide ad-hoc administrative support, including but not limited to maintaining spreadsheets, documenting meeting minutes, scheduling meetings, compiling agendas, and supporting document and file management for the Strategic Planning & Incubation team and related projects
  • Support the process of hiring team intern(s)
  • Other duties as assigned

Selection Criteria

  • Bachelor’s degree in relevant field required
  • Minimum 3-5 years’ relevant experience.
  • Demonstrated project administration experience, including conducting independent research and data analysis
  • Strong proficiency with Excel preferred, and experience with Salesforce, SharePoint, and budgeting or financial software preferred
  • Experience with grants management, proposals, and reporting in a non-profit setting preferred
  • Strong experience developing presentations and training materials, and experience facilitating groups and/or presenting trainings preferred
  • Exceptional copy editing skills and keen attention to detail.
  • Ability to develop, maintain, and enjoy effective working relationships with people from a wide variety of organizational levels and with a wide variety of functional expertise
  • Exceptional customer service skills
  • Excellent communications skills (listening, speaking, and writing)
  • Continuous learning skills and the ability to synthesize information
  • Demonstrated discretion with sensitive organizational information and strategic planning
