Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). Two (2) years of full-time administrative experience as an assistant to an executive or senior manager. Experience coordinating schedules, coordinating travel and managing itineraries. Experience using Microsoft Office Applications, including Word, Excel, and PowerPoint.

Preferred Qualifications:
Master's degree (foreign equivalent or higher). Knowledge of SUNY and/or Stony Brook University academic policies and procedures. Supervisory experience. Experience working with the following Stony Brook University computer systems: PeopleSoft, Oracle, Wolfmart, SBU Reporting, Solar.

Brief Description of Duties:
The Senior Administrative Assistant will provide high-level administrative support to the Stony Brook Foundation (“Foundation”) leadership and serve as an administrative coordinator for a variety of Foundation projects. Keen discretion is required at all times. Although the core responsibilities of the position are listed below, the nature of the office results in the incumbent getting involved in a variety of projects/tasks, which may not be specifically outlined, therefore the incumbent must be flexible with excellent time, organizational and project management skills. The incumbent must be able to communicate and write effectively, interface with high-level campus, SUNY administration, Foundation board, local and federal government officials, University donors, as well as students, and members of the community. The incumbent will multi-task in a fast-paced, deadline driven environment working on various time-sensitive and confidential projects. The incumbent will have excellent customer service skills, ability to build exceptional relationships and is motivated and interested in growing with a dynamic department.
  • Maintains and coordinates the Foundation leaderships’ calendar and receives telephone calls and visitors on behalf of the Foundation. Composes, edits, and submits correspondence on behalf of the Foundation, as needed. Assist with Foundation customer service initiatives with the goal of creating and maintaining positive business relationships with external and internal customers. Proactively assist with creating a Customer First culture throughout Foundation which is reflected in both oral and written communications. Identify and respond to any perceived difficulty in customer relations, and when possible, quickly find a satisfactory solution for all involved as well as support important and critical internal and external relationships.
  • Prepare requisitions, purchase orders, journal transfers, and work with various vendors and University Procurement. Work with Foundation staff members on projects and tasks. Essential for this role is the adeptness to work independently and as part of a team with a collaborative approach to problem solving. Responsible for the timely completion and/or delegation of special projects as assigned by Foundation leadership. Assist in directing and coordinating various project and program implementations across the Foundation. Work with consultants and Foundation staff to assist in moving projects/programs forward.
  • Assist Foundation leadership with drafting resolutions, executive summaries, annotated agendas and other materials for each Board meeting and designated committee meetings, in consultation with the Executive Director, Counsel and personnel in other areas (budget, finance, fundraising etc.) Assist with preparing materials promptly after each meeting well-written drafts of minutes for all Board meetings and designated committee meetings. Assist with the storage of and access to minutes, resolutions and other governance documents, assuring they are accessible as needed for legal, regulatory and other purposes. Assist with scheduling of Board and committee meetings and other meetings or calls with current Board and Committee members.
  • Train and supervise an administrative role. Assist with front desk coverage and tasks such as but not limited to ordering supplies and keeping the suite neat and organized. Oversee suite repairs, handling maintenance issues etc. Coordinate with direct reports to organize, direct, implement, and evaluate administrative functions needed by the Foundation suite.
  • Assist Advancement HR team with onboarding all new employees for the Stony Brook Foundation.
  • Other duties as assigned.

Special Notes:
The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research Foundation policies and procedures, sponsor guidelines and the availability of funding. This is a full-time appointment. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.
