Reports To: Director of Student Transportation

Work Schedule/FLSA Status: 12 Month/Non-Exempt

Salary Schedule: Salary Grade 32D


Position Purpose: The Secretary III is responsible for the day-to-day clerical activities in the Division of Student Transportation. The Secretary 3 further provides telephone support as needed.


Essential Performance Responsibilities

  • Provide customer support to parents, students, schools and the OPS community.
  • Answer and log phone calls.
  • Provide confidential administrative support to the Student Transportation Department Administrators and Staff.
  • Complete specific projects and responsibilities in a timely manner on a daily basis.
  • Prepare, update and manage daily Fuel Management System and all department requisitions.
  • Order and distribute supplies to employees.
  • Add cost of labor and parts to mechanic work orders, total orders, and file.
  • Respond daily to transportation staff for specific materials or confidential information related to employees.
  • Maintain various files on computer database.
  • Prepare and submit on-line work orders and mechanic work orders.
  • Run fuel reports and orders fuel for the division.
  • Assist with computation of mini-bus and van daily mileage monthly report.
  • Assist with annual order input.
  • Perform secretarial duties such as answering phones, typing, filing correspondence and reports, duplicating materials, and routing copies of materials to appropriate staff.
  • Other duties as assigned.

Knowledge, Skills and Abilities

  • Minimum high school diploma.
  • At least two years previous office experience.
  • Experience with Window based computer operations such as: Windows, Outlook, WORD, EXCEL, and ACCESS.
  • Strong mathematical competence.
  • Proficient typing abilities with accuracy.
  • Operation of 10-key by touch.
  • Ability to apply mathematical skills to department requisition items.
  • Excellent attention to detail.
  • Ability to work with minimal direction at a variety of tasks.
  • Ability to communicate with the public and school personnel using tact and courtesy.
  • Exellent organizational skills.
  • Ability to use office equipment and computer programs.
  • Knowledge of any or all programs a plus: Edulog, PeopleSoft, Kronos, Fleetpro, and Infinite Campus.
  • Ability to create and provide various types of reports for areas such as Fuel Management System and department requisitions.
  • Ability to maintain absolute confidentiality.
  • Ability to work harmoniously with fellow staff members.
  • Excellent attendance and prior work record.

Additional Duties


Performs other related tasks as assigned by supervisor and other central office administrators as designated by the Superintendent.


Equipment


This position requires the ability to use basic office equipment such as computers, copiers, scanners, and fax machine. Must always comply with OPS’s guidelines for equipment use.


Travel


Limited travel within the District may be required.


Physical and Mental Demands, Work Hazards

  • Must be able to respond rapidly in emergency situations.
  • Must have organization, time management, communication, and interpersonal skills.
  • Work in an office environment, school buildings and warehouse setting.
  • Ability to life, move and reposition objects and materials- frequently exerting force equal to lifting fifty (50) pounds.

Interrelations

  • Contact with personnel within the district and with customers and vendors.
  • Will be working under the direct supervision of the department supervisor in order to complete day to day tasks.
  • Will be working with a diverse population requiring the ability to handle all situations with tact and diplomacy.
  • Must understand and respond appropriately to customer needs and maintain a positive attitude with all customers and colleagues.
  • Expected to interact with all internal and external customers in a friendly, professional manner and provide quick, responsive customer service.

Employee Punctuality and Appearance

  • In order for schools to operate effectively, employees are expected to perform all assigned duties and work all scheduled hours during each designated workday, unless the employee has received approved leave.
  • Any deviation from assigned hours must have prior approval from the employee’s supervisor or building administrator.
  • All employees are required to report to work dressed in a manner that reflects a positive image of Omaha Public Schools and is appropriate for their position.

Terms of Employment


This position is treated as a full-time non-exempt classified position. The terms of your employment will be governed by applicable state laws regulating employment in a Nebraska public school and Board of Education policies, as those laws and policies may change from time to time. If your position is represented by a collective bargaining representative, then your employment will also be governed by a negotiated agreement between OPS and that collective bargaining representative.

  • Obtaining and providing verification of all licenses, certificates, and other requirements for the position (e.g., Paraprofessionals obtaining “Highly Qualified status,” etc.), as identified and maintaining all licenses, certificates, and requirements for your position throughout employment.
  • A background check which demonstrates to OPS that background is acceptable for the position.
  • Verification of U.S. citizenship or legal authorization to work in the United States.
  • Successful completion of a pre-employment drug test (if required for position offered).
  • Successful completion of a tuberculosis skin test (if required for position offered).
  • Successful completion of a pre-employment medical examination to determine ability to safely and effectively perform the essential functions of the position.
