The Global Information and Records Specialist will play a vital role in providing all aspects of Information Governance support within the Law Strategy & Operations Function. The role will ensure compliance with Information Governance best practices while supporting business functions around the globe. The position will be based in Lawrenceville, NJ, and reports to the Associate Director, Global Information and Records

The person in this role must be able to interact with the global Law Department team members, as well as external and internal partners at all levels, in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, calm, resourceful, and efficient. This position requires a professional demeanor, sense of urgency, sense of humor, results-focus, and the ability to keep sensitive material and conversations strictly confidential. Expert level written and verbal communication skills, strong decision-making ability, and attention to detail are equally important.

Responsibilities include:

  • Participate in developing, implementing, and administering all facets of the BMS Global Information and Records program to meet legal, compliance and regulatory requirements.

  • Manage the maintenance and support of the Records Management System, including implementing and testing new functionality, reconciliation, and quality review.

  • Collaborate in developing processes for accessing/storing/managing electronic records, including assessing and suggesting potential technologies.

  • Contribute on efforts to revise Records Management procedural documents, both Corporate-level and departmental

  • Assist with maintaining the Information and Records SharePoint site.

  • Participate, as appropriate, in acquisition, divestiture, licensing, and workplace change projects.

  • Partner on developing training for all aspects of the Information and Records program.

  • Interact with offsite storage and supply vendors to provide second-line support for issue mitigation and remediation.

  • Communicate directly with internal and external colleagues to ensure compliance and alignment with Information and Records best practices.

  • Support BMS global staff via the Records Management Helpdesk - training and assisting colleagues with all aspects of the archiving process.

  • Perform a variety of complex project-oriented duties and responsibilities from the point of inception to completion.

  • Work with BMS Records Managers to identify, consolidate and integrate data into the RMS system.

  • Solicit feedback from internal users/customers to help drive a strong customer experience and proactively suggest solutions for process improvements and cost savings.

  • Participate as a member of the Global Information and Records Center of Excellence

  • Support the records disposal process by reviewing Records Disposal Forms and initiating the disposal process with suppliers.

  • Perform other duties and Legal Operations projects as assigned.

  • Manage preservation activities for physical records in Records Management System

Qualifications: The nature of work requires high factual/procedural accuracy and dependability in presenting information. Assignments require considerable judgment and initiative. Candidate must be capable of independent action, understand implications of work, and make recommendations for solutions and/or other improvements. The successful candidate will be exposed to sensitive and strictly confidential information which requires discretion, diplomacy, confidentiality, and tact. Candidates must also have:

  • Working knowledge of Information Governance / Records Management fundamentals

  • Demonstrated expertise using information retention schedules

  • Strong verbal and written communication skills

  • Excellent inter-personal skills

  • Good organizational skills with a demonstrated ability to work in an accurate manner.

  • Demonstrated ability to work efficiently and perform tasks simultaneously with minimum supervision in a fast-paced environment.

  • Demonstrated proficiency with processes, procedures, workflows, and productivity tools, including software adaption and implementation.

  • Ability to exercise sound judgment and determine priorities.

  • Ability to demonstrate innovative thinking in finding solutions.

  • Demonstrated experience in execution and accountability for project coordination.

  • Willingness to understand and work with changing priorities and take on new projects.

  • Detail oriented, results driven, and customer service focused.

  • Pharmaceutical experience preferred.

  • Travel to local BMS offices and possible international travel availability required.

  • Knowledge of requirements for document maintenance and storage.

  • Demonstrated experience in executing and overseeing records management projects.

  • Excellent written, verbal, and interpersonal skills. Must be able to relate effectively to people at all levels of the organization.

  • Demonstrated experience with electronic document management, storage and tracking systems.

Education:

  • Bachelor’s degree plus 2 years of experience or AA degree with 4 years of experience or 8 to 10 years of experience in records management.

  • Information Governance or Certified Records Manager IGP /CRM certification preferred.
