Job Summary: Greet and assist visitors and callers in a professional, courteous manner. Provide general office support with a variety of clerical activities and related tasks, and assure resident safety.

Essential Functions and Responsibilities:

  • Answer incoming telephone calls, determine nature of calls, and then direct the caller to the appropriate individual or department. Provide information and assistance when appropriate.
  • Shred all personal/sensitive information when necessary to protect the privacy of residents and staff.
  • Provide tours of the facility to interested visitors and family members. Provide information, answer questions, and direct any concern to the appropriate individual.
  • Disperse employee paychecks and pay stubs.
  • Prepare care plan letters to be mailed for specific residents on a monthly basis.
  • Create and maintain an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment to residents and visitors throughout the facility.
  • Assist residents and visitors with information requested.
  • Respond to emergencies.
  • Receive, sort, distribute and forward the mail as directed.
  • Maintain a current file/listing of residents by name and address, as well as emergency phone contacts of the on-call personnel and department extensions.
  • Maintain financial files in alphabetical order.
  • Complete Admission office/business office filing, including insurance denial letters.
  • Complete the Welcome Board when necessary.
  • Maintain reservations for the Private Dining Room.
  • Input work orders through the IT and Facilities ticketing system on the intranet.
  • Keep work areas clean and neat.
  • Must be familiar with facility procedures and personnel in order to assist guests, residents, and staff.
  • Assure resident safety at all times.
