Receptionist/Administrative Assistant

Location: Old Milton Parkway, Alpharetta GA 30005
Hours: Full Time Position
Salary: $14-18 per hour (based on experience)
Reports To: Assistant Director of Operations

Required Qualifications:

  • Strong analytical and problem-solving skills
  • Ability to build rapport with employees, clients, and able work within a team
  • Excellent written and verbal communication skills
  • Experience with Microsoft Software, Adobe Acrobat, Powerpoint
  • High School Degree
  • Experience in customer service

Responsibilities:

This person is the first line of communication for the firm. This person answers phones, checks voicemail and makes sure each person that contacts the firm is responded to within 24 hours. This person is in charge of managing the firms’ phones, faxes, and incoming and outgoing mail. They are to answer phone calls and document them, receive faxes and direct them to the appropriate team member, get the mail and upload it to the system and send out outgoing mail.

By being the first line of communication for the firm, this person sets the tone for the culture of the firm by being pleasant, welcoming, and professional for all guests, vendors, clients, and prospects. This person maintains the office by ordering supplies, maintaining the common areas of the office; assisting with tech support; ensuring the office is presentable to guests and coordinates with office vendors.

This position requires a wide variety of skills and has a variety of responsibilities in regard to providing assistance to the firm’s employees. This person will help with projects for new initiatives, operational maintenance projects, and assisting Firm managers with PSP updates. In addition, this person helps to ensure the client experience is meeting the standards of the firm.

a) Effectively answers and routes all phone calls with excellent customer service; Presents the firm well as the first line of communication; Helps shield employee time by acting as a good gatekeeper

b) Is clear on the vision and mission of the firm and works towards the culture and operation of the firm matches the vision/mission

c) Assists with updating of firm PSPs, Employee Handbook, and Training
Manual per the Assistant DOO direction

d) Open and close the office based on our Red Carpet Experience

e) Works with Assistant DOO to maintain the firm’s relations with outside vendors ensuring that all systems are running smoothly and efficiently and manages all purchasing requirements within budget

f) Works with Assistant DOO to manage Inventory and Ordering

g) Data entry for KPI metrics

h) Ensures client satisfaction by conducting quarterly surveys and reporting results to Assistant DOO

i) Maintains office appearance and prepares office for mediations, client meetings, and consultations

j) Maintains client relations by managing client expectations via education, proper client communication, and external policies

k) Assists in various administrative functions as directed by the Assistant DOO

l) Backup to intake specialist and assistant for screening potential new clients

Bonus Structure:
End of year bonus based on the results of performance review.

Job Type: Full-time

Pay: $14.00 - $18.00 per hour
