THE JOB DESCRIPTION | Executive Real Estate & Personal Assistant to full-time Real Estate Broker.

Essential/Primary Responsibilities:

  • Daily real estate tasks pertaining to transactions and client database
  • Keep database updated
  • Send handwritten notes
  • Make sure monthly email and mailer go out on time
  • Make sure all paperwork for listing transactions is in company system and Buffini system
  • Find FSBO leads weekly online and send contact info to LM once per week
  • Purchase supplies and put together pop-by’s monthly
  • Prepare listing documents and have ready for LM when needed
  • Learn electronic signature system to send documents for electronic signatures
  • Prepare flyers and marketing materials for listings and open houses
  • Coordinate all vendors, appointments, inspections at properties as needed
  • Meet all vendors at properties as needed
  • Host Open Houses on weekends as needed

Secondary Responsibilities:

  • Perform other duties as assigned
  • Keep track of calendar – business and personal
  • Personal house tasks and errands

Skills & Abilities:

  • Strong interpersonal skills and the ability to build relationships with clients and colleagues
  • Must have own laptop with Microsoft Office – including Word, Excel and PowerPoint
  • Ability to work independently and with professional discretion
  • Ability to learn new software such as Buffini & Co Referral Maker and Real Smart Agent computer systems as will be required to manage database system and company transaction system
  • Excellent writing, editing, grammatical, organizational and research skills
  • Ability to work with a broad range of people
  • Excellent management, time management and problem-solving skills

Working Conditions/Data:

  • Primary work will be reporting to Palm Desert office, with occasional remote locations in Palm Springs and La Quinta
  • Occasional travel within the Coachella Valley and high desert may be required
  • Laptop with MS Word, Excel and PowerPoint is a requirement for this position
  • Must be available two weekends per month

EXPERIENCE & EDUCATION | High school diploma and a college degree are helpful but not required. Two years of experience in administrative tasks and the real estate field.

Active real estate license will increase pay opportunities - willing to assist in obtaining one if interested.

THE SCHEDULE | Schedules may vary due to the nature of the real estate business. Monday to Friday 8:30 AM to 5:30 PM

Plus two weekends a month.

THE COMPENSATION | $24 per hour. Paid leave - sick and vacation.
