We have an immediate need for a Construction Project Specialist to join our team of management professionals at our Corporate office in Troy, NY. This position would be part of the Construction Management Department.

Major Tasks + Key Responsibilities:
The responsibilities that are listed below are not all inclusive; however, they are indicative of the type of responsibilities normally performed by the Construction Project Specialist:

GENERAL DUTIES
  • Assists Development Executives and Project Managers with all activities relating to project development.
  • Tracks submittals and manages "issues logs", RFI logs, and project files.
  • Takes all meeting minutes, and action items, associated with the construction project assigned
  • Prepares general correspondence, contracts, change orders, etc. and maintains working project files and records.
  • Assists in the administration of Standard Operation Procedures and policies of the Construction Team.
  • Prepares all contact lists for new projects; works with Development Team to establish who they are working with. Keeps an updated and ongoing contact list once project is in the ground, distributing to all parties on the project.
  • Receives all public inquiries and provides relative and necessary information concerning projects as in accordance with department policies and procedures.
  • Acts as a liaison with committees, task groups, and stakeholders collaborating with staff to ensure project success.
  • Researches topics of interest; compiles and coordinates materials as needed.
  • Responsible for special project needs and client requirements.
  • Provides frequent updates to Executives with specific issues and/or projects, workflow, etc.
  • Responsible for acting autonomously and ensuring stated goals and objectives are met.
  • Provides leasing support as needed by providing a response to any construction related issues/questions, tracks punch-list items and resolve problems during construction warranty and then assists Property Management team after warranty is up with any construction related issues. Tracks these issues and report to Construction Executives for resolution as needed.

PRIMARY DUTIES
  • Assists with booking travel for Construction employees.
  • Assists Site Property Management employees with existing construction products: repairs, renovations, or remodel projects.
  • Assists Development Team with any documents needed, completion of forms, grant research and preparation.
  • Prepares construction contracts in Microsoft Word or online AIA system using edited documents received from team.
  • Assists Construction Executives with producing monthly reports to Owners for each project in construction.
  • Prepares 911 layouts for projects either during development or after groundbreakings. Coordinate with in-house Accounting Team for Entrata data entry of unit numbering, unit ID, and unit naming convention of all individual units and buildings.
  • Files initial power applications with National Grid for NYS projects. Keeps track of the development of the project and notify national grid and developer as the application ages.
  • Trains new employees on Plangrid and Procore.
  • Provides Construction Assistant with quantitative work and project assignments.
  • Responsible for managing, collecting, and tracking all Electronic Storage of project documents: Y Drive, Plan Grid and Procore.
    • Emails regarding critical or costly construction issues
    • RFI’s, RFI Updates
    • Changes to drawing packages (ASI’s, SK’s)
    • Submittals – circulate as needed to team and owner for final review on alternates or issues
    • Change Orders and Change Order Log: update Executive Vice President’s spreadsheets and file
    • Notices to Owners and Waivers received from contractors monthly
    • Progress photos and reports
    • Aerial Photos – circulate to Marketing, Management and Owner
    • Daily reports from site contractors, UDS site staff, Architects and Engineers reports.
    • Plan Page updates
  • Project Signage:
    • Reviews project drawings and develops a comprehensive sign package that includes all code required signs and management specialty signage.
    • Works directly with Marketing, Management, Owner and General Contractor to create content, design and ensure timely delivery and installation.
    • Responsible for shopping sign suppliers and getting the Owner the best deal at the best price for each project.
  • Project FF&E:
    • Coordinates the review and purchase of all project color selections, furniture, and finish selections, including art, plumbing, and electrical finishes.
    • Collects and present samples from the Interior Designer to the Owners and Management Team.
    • Provides completed lists to the Architect and General Contractor for review and finalization.
    • Reviews all selections presented for costs and Owner’s design intent; shares with team until final approvals.
    • Sources, purchases, and schedules deliveries for all finishes outside of the interior designer’s scope of work: television, fitness equipment, dog park, site furnishings, benches, gaming, parcel pending
  • Researches alternate products, training, events, seminars for Construction and Development.
Job Overview + Requirements:
  • Job Type + Compensation: Construction Project Specialist; $65,000 salary
  • Schedule: Full-Time, Monday – Friday 8:00am-5:00pm; additional hours as required; and willingness/ability to travel as needed to projects under construction (FL)
  • Required Experience: 2-3 years of construction project management/coordination

  • High-functioning administrative skills with an in-depth knowledge of Microsoft Office products (Excel, Outlook, Word, PowerPoint, Publisher). High level understanding of contracts, documents, drawings, and specifications related to Construction/Development.
