About the Position

Under the general supervision of the Deputy Director, coordinates a variety of administrative and grants management tasks on behalf of the Division of Programs. Facilitates the effective management of the day-to-day operations of the Agency programs and assists in the promotion and development of the arts in the state of Illinois.

Job Responsibilities

  • Assists in the planning and coordination of grant programs and activities. Conducts site visits and field studies to assess and respond to the needs of constituents. Schedules and organizes grant writing webinars and informs organizations, artists, and potential grantees of Agency programs and services. Consults with constituents on application procedures and provides technical assistance. Implements Agency priorities, policies and practices in grant processes.
  • Reviews applications and supplemental materials. Reviews constituent budgets, tracks expenditures and grant related activities. Prepares reports and updates records as needed.
  • Schedules, organizes, and facilitates review panel meetings and events. Conducts recruitment and orientation of advisory panelists. Prepares panel review materials and maintains agenda. Ensures technology is set up and working properly. Prepares and submits all documents required for processing advisory panel recommendations for Council action. Recommends action to be taken to Senior Staff. Reviews all required follow up documents submitted by applicants.
  • Maintains positive relationship within the Division of Programs by working with staff to collaboratively review arts program needs and sets future goals for Agency. Maintains strong and positive relationships with Agency constituents and outside arts communities.
  • Performs other duties as assigned which are reasonably within the scope of the duties enumerated above.


Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of four years college, with courses in the liberal arts, the humanities, the performing or fine arts, or closely related field.
  • Requires three years progressively responsible professional experience in the development and promotion of arts programs.


Preferred Qualifications

  • Prefers extensive knowledge of the policies, procedures, and programs of the Illinois Arts Council.
  • Prefers extensive knowledge of the National Endowment for the Arts and its programs.
  • Prefers extensive knowledge of the principles, methods, and techniques used in the promotion and coordination of arts programs.
  • Prefers extensive knowledge of principles and practices of grants application and monitoring.
  • Prefers ability to plan and coordinate Arts Council programs.
  • Prefers ability to establish and maintain working relationships with artists, community and not-for-profit arts organizations and sponsors, Arts Council members, coworkers, and the general public.
  • Prefers ability to direct the activities of others.
  • Prefers ability to communicate effectively both orally and in writing.
  • Prefers ability to gather and coalesce a variety of material into comprehensive reports.

Conditions of Employment

Requires statewide travel.
