DEPARTMENT DESCRIPTION:
The CHA Imaging department provides advanced medical imaging services led by a team of board-certified physicians, certified technologists and service-oriented staff . We offer a full complement of imaging services including a 128-slice CT and a wide bore 1.5T MRI. We also offer interventional radiology services, diagnostic X-ray, fluoroscopy, ultrasound, and nuclear medicine. We are accredited by the American College of Radiology (ACR) which demonstrates our commitment to the safest and best quality care possible.

Summary:
This position will provide administrative support for a family practice focusing on customer satisfaction and teamwork. Acts as the link between the health care provider, the patient, other departments, outside agencies and consulting providers.
Administrative responsibilities will include but are not limited to:
  • Handling all calls appropriately and courteously.
  • Registering patients and scheduling appointments via Epic.
  • Verifying insurance eligibility using NEHEN.
  • Maintain and support both paper and electronic medical records.
  • Collecting, processing, and reconciling co-pays to be deposited.
  • Provide financial support by processing charges, reconciling daily receipts as well as identifying and correcting errors in billing.
  • Assist the direct patient care providers with electronic and paper correspondence; sorting and prioritizing incoming and outgoing mail for each provider.
Level I will perform clerical responsibilities in addition to the responsibilities assigned to all Patient Access Representatives.

Responsibilities:
Clerical
Registration/Reception Component
  • Completes computer registration thoroughly and accurately according to protocol.
  • Prepares appropriately for computer downtime.
  • Completes/collects Free Care applications.
  • Prepares charts with appropriate accompanying forms.
  • Maintains accurate record of "Kept" and "DNKA" appointments.
  • Handles patient-billing problems effectively.
  • Collects cash payments and provides patient with accurate receipt
  • Prepares cash for cashier's office on a daily basis.
  • Prepares billing sheets daily.
  • Enters all charges daily and other data as needed.
  • Obtains proper insurance authorization for appointments.
  • Compiles daily provider statistics.
  • Obtains taxies and chair cars for patients as well as other courtesies to patients.
Telephone Reception Component
  • Directs all calls to appropriate staff and contacts providers as needed.
  • Answers telephones promptly and courteously.
  • Clearly identifies proper name of site and self.
  • Manages incoming calls by determining urgency before placing on hold.
  • Keeps track of calls on hold.
  • Takes messages accurately and thoroughly; includes name of caller, date and time of call, a brief message and the initials of the operator.
  • Call forwards and retrieves telephones from Answering Services.
  • Appointment Scheduling Component
  • Schedules new and follow-up appointments for patients within an appropriate time frame.
  • Collects complete appointment information to identify patient and reason for appointment.
  • Schedules patient appointment in computer.
  • Places reminder calls to patients on a daily basis.
  • Notifies patients of schedule/appointment changes in a timely manner.
Medical Records Component
  • Maintains medical record system allowing for easy tracking of records on site as well as off site.
  • Purges inactive records according to protocol.
  • Files charts and strays.
  • Pulls charts for appointments, messages and lab reports.
  • Assembles new medical records folders.
  • Responds to requests for medical records copying from external organizations per protocol.
  • Monitors and maintains clinical supplies.
  • The following responsibilities apply to all positions:
  • Performs Medicaid outreach, patient financial assistance, and assistance with completion of the Mass Health MBR.
  • Interprets for patients and families as needed.
Performs other related duties as assigned or directed.

MINIMUM QUALIFICATIONS: Other information:
High School Diploma
Work Experience: Preferably one-year experience, preferably in a medical setting or certification from a Medical Assistant Program.
Bi-lingual skills such as Spanish, Portuguese or Haitian Creole preferred.
Ability to work independently is necessary.
Minimum of one year experience working in a medical setting.
Experience working on a Planned Care Team preferred.
Must possess excellent customer service skills and attention to detail.
