National 501c3 non-profit organization specializing in health care advocacy is looking for an Operations Specialist to assist with the smooth running of the organization’s programs to members and the public.

National Association of Healthcare Advocacy (NAHAC.com) is the professional organization for practicing independent patient and health care advocates providing professional and educational support to our members and support for the growth of the profession of health care advocacy.

Ideal candidate would be an independent contractor available to work 20 +hours a month in support of volunteer Board of Directors and reporting directly to the NAHAC President.. Hours will vary weekly depending on the activities scheduled for the month. The primary function of the role is to ensure smooth and effective operations in support of NAHACs activities:

Specific Responsibilities include:

  • Virtual Events - Provide support for and manage NAHAC virtual events from registration to the awarding of Continuing Education certificates. This includes creating, distributing and collecting completed post-webinar tests using Survey Monkey as well as the posting of recorded video on the NAHAC website following each recorded event.
  • Email/Social Media - Supporting NAHAC with distribution of communications including the creation of email and social media marketing efforts including monthly newsletters and announcements.
  • Website - Providing support for NAHAC’s ongoing website maintenance. This includes making agreed upon changes to the website under the direction of the Board President and working with NAHAC’s web technical support contract resources as appropriate.
  • Member Relationship Management – Track and maintain membership activity including the acceptance of dues and the issuing of invoices as needed using NAHAC’s CRM tool, MembershipWorks. Produce reports for the Board and Membership Committee as directed from data held in CRM.
  • Communications Coordination: Manage emails and phone messages responding as needed via phone or email. This includes routine monitoring of NAHAC’s email/voice mail Admin account, and where appropriate, coordinate a response with NAHAC Board President.
  • Data and Calendar Maintenance: Provide consistent support in maintaining document management system for effective operations; Maintain NAHAC calendars through coordination with NAHAC Board Members and Committees on scheduling of activities.
  • Meeting Attendance: Be available as needed to attend Board and Committee meetings and provide support for NAHAC Committees by understanding the mission details of their operations and processing needs. Establish and document workflows to maintain efficient operations.

Skills required include:

  • Demonstrated expertise with various technologies in support of ongoing operations
  • Demonstrated leadership abilities with a willingness to take initiative to manage program process and scheduling.
  • Ability to be flexible and adapt quickly to changing environment
  • Excellent communication skills, both written and verbal. Ability to engage in the thoughtful production of communications efforts with members and the public
  • Demonstrated skills in website maintenance and ability to interface with technology experts for major technology upgrades to the website.
  • Customer Service skills including a friendly and patient demeanor while returning phone calls and emails to members and the public.

Preferred expertise with the following Tools:

  • CRM System - Membershipworks or equivalent
  • Zoom or other virtual meeting hosting tool
  • Survey Monkey
  • Digital Marketing Tool, Constant Contact or equivalent
  • Vimeo or equivalent video tool
  • Google Drive or equivalent cloud storage solution
  • Microsoft Word or equivalent word processing tool, such as Google Docs
  • Adobe Acrobat
  • Microsoft 365
