Operations Coordinator Job Duties:

  • Directly supervises eight Mechanic Supervisors; evaluates supervisors’ performance to ensure policies and procedures are followed and customer service, quality control, and productivity are in line with departmental goals
  • Answers to Deputy City Manager, Public Works Department Director and Public Works Deputy Director in the absence of the Fleet Administrator
  • Performs duties of the Fleet Administrator in their absence to ensure continuation of operations
  • Works with Operations Coordinator to resolve scheduling of service and repair issues
  • Assists in the development and implementation of policies, procedures, standards, quality control measures, inventory control and safety procedures
  • Assists in budget preparation through review and recommends items required to enhance the operation
  • Handles chain-of-command-escalated employee disciplinary issues
  • Recommends new and replacement equipment consistent with departmental needs
  • Specifies specialty equipment through research, knowledge of proposed uses and experience to improve equipment efficiency
  • Coordinates and resolves difficult issues with vendors concerning equipment which does not meet specifications, delivery dates or equipment performance; provides specialty training for operators and mechanics on equipment and tools to ensure proper use
  • Provides on-going tests of new/special materials and products to provide the most economical products for use on city vehicles
  • Works closely with the Purchasing Division to ensure timely and accurate RFP’s for the procurement of equipment and services
  • Attends pre-bid conferences to provide consultant advice to Purchasing and vendors to address problem areas
  • Oversees/responds to emergency and storm events and dispatches employees for after-hours calls as needed to ensure customer service expectations are maintained.
  • Knowledge of automotive and heavy equipment specifications
  • Basic accounting procedures, budget processes and procedures, and procurement practices and procedures
  • EPA, OSHA, DOT, MSDS, DEQ, CDL regulations applicable to vehicles, equipment, and hazardous materials
  • Virginia State Inspection procedures and regulations
  • Principles and practices of automotive repair shop management and of the characteristics and maintenance needs of various automotive and mechanical equipment

This position is designated ALPHA I and individual will be required to work in emergency events and inclement weather.

Minimum Requirements:

MINIMUMS: High school or GED plus eight (8) years experience including five (5) in a supervisory position in positions such as fleet management or garage supervisor and responsible for the repair and maintenance of automotive and construction equipment; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities. Must have, or obtain, a current and valid Virginia or North Carolina driver?s license in accordance with Virginia or North Carolina DMV driver?s license eligibility requirements. SPECIAL REQUIREMENTS: Must be available to work evenings, weekends, holidays, and overtime when required to meet operational needs. This position may require that incumbents wear and maintain appropriate personal protective equipment such as, but not limited to, steel toed shoes, safety glasses, gloves, or other designated safety attire and equipment in designated areas of risk. Specific requirements will be determined and communicated by the employee?s supervisor based on position assigned. This is a safety sensitive position and is subject to mandatory drug testing. Positive drug test results may result in counseling and/or discipline, up to and including, termination.

ASE Certifications
Experience with Government Procurement procedures
Experience using InSite
Experience reviewing timecards in VB Time or other electronic system
Experience as a mid-level supervisor or above
Experience performing HR duties- interviewing, discipline, termination
Experience composing/delivering performance evaluations for subordinates
Strong knowledge of Microsoft Office programs: Outlook, Excel, Word
Experience with automated fleet management software- Asset Works

Special Instructions:

Position will report directly to the Fleet Administrator.
This is an ALPHA I position and will be required to report to work during adverse weather conditions and other emergencies.
