The Work You Will Do:

The Division of State Lands, as Florida’s lead agency for environmental management and stewardship, serves as staff to the Board of Trustees of the Internal Improvement Trust Fund (Governor and Cabinet). As such, the division’s role goes far beyond just acquiring lands for protection. It provides oversight for the management of activities on more than 12 million acres of public lands including lakes, rivers and islands. These public lands help ensure all Florida’s residents and visitors can truly appreciate the state’s unique landscapes.


The Difference You Will Make:

In 1855, the Trustees of the Internal Improvement Trust Fund was created as an agency of the Florida government. In 1841 the U.S. government had granted each state in the union 500,000 acres. Combined with the land received because of the Swamp and Overflowed Lands Act of 1850, the Trustees had more than 21 million acres under its control. Since then, Florida has worked to protect and conserve natural resources.


Bureau of Survey and Mapping, Title and Land Records:

  • The Title and Land Records Section is the state office that maintains the physical records that now, and historically, pertain to the state’s original public land records of the Board of Trustees of the Internal Improvement Trust Fund of the State of Florida and provides research of state ownership. Most land records are indexed and processed in the Board of Trustees Land Document System (BTLDS) and available to the public over the internet. The data from BTLDS is now being integrated into the Florida State Owned Lands and Record Information System (FLSOLARIS) to show current ownership and encumbrance.
  • This section houses the “Vault”, which is a large secure climate-controlled room that contains all the original township plats, field notes, tract books, maps and charts dating prior to statehood.

Your Specific Responsibilities:

Administers state land records such as: acquisitions, encumbrances and, dispositions for inclusion into the State of Florida Board of Trustees of the Internal Improvement Trust Fund (BOT) records management system; compiles and prepares data from land title documents for Board of Trustees, Land Database System (BTLDS) computerized digital document image scanning system. Also has access to Land Inventory Tracking System (LITS) and Acquisition Process Information System (APIS) Database Systems for researching and preparing documents for BTLDS.


Consults with staff and general public in research and evaluation of state land records data in BTLDS document management component, as well as BTLDS Land Use Summary (LUS) property management inventory to provide clarification on state and private land title ownership issues. Drafts correspondence related to such issues.


Prepares and organizes state land data for the BTLDS Land Use Summary (LUS) Property Management land inventory database; links to scanned BOT land documents; and prepares reports.

Assists in collecting data for analysis of BOT state land records, and reconciliation of BTLDS data with costs shown in the Florida Accounting & Information Resource (FLAIR) database of land acquisition properties.


Reviews and analyzes data in a timely manner to consult with management and make recommendations to Supervisor/PLSM/Chief/Division Liaison on the implementation and monitoring of records management program for the Division.


Conducts records research and special assignments as directed by section head and immediate supervisor, as well as handles information requests made verbally or in writing from constituents and prepares correspondence accordingly.


Performs other duties as assigned.


Required Knowledge, Skills, and Abilities:

Knowledge of: General data analysis procedures; written correspondence, communication and proofreading skills; business practices and procedures to enable incumbent to work from general instructions and to adapt and apply knowledge in a variety of situations. All Microsoft applications, specifically Outlook, Excel and Microsoft Word. Ability to: perform in a team environment; to work independently with little supervision.
