The Oklahoma Registry Advisor is responsible for evaluating applications and documentation submitted for the Oklahoma Directors Credential (ODC) and the Oklahoma Professional Development Ladder (PDL) and issuing credentials and certificates as part of the Oklahoma Professional Development Registry (OPDR). Occasional travel and weekends will be required.

Responsibilities:

  • Review ODC and PDL applications, education, and documentation to determine if applicants meet program requirements and level criteria.
  • Place applicants on appropriate levels utilizing the OPDR software, and issue certificates
  • Communicate with applicants who do not qualify and update notes in the OPDR software as needed.
  • Keep accurate records of all contacts and enter a summary of discussions with participants in the database notes.
  • Advise applicants, participants, CECPD funders, partners, and staff regarding ODC and PDL requirements, levels, and timelines.
  • Provide guidance to the Registry Staff Assistants regarding tasks and timelines.
  • Verify training documents and other application information as needed
  • Review college level course descriptions to determine if classes will apply toward early childhood/child development and business/administration requirements
  • Manage the approved college coursework list and update it as required by annual contract
  • Review/reevaluate applications for level placement as requested by participants
  • Enter data for training not already in the OPDR software
  • Promote Registry programs and provide information through presentations, site visits, conference exhibit staffing, phone contact, and other means
  • Meet application processing and performance reporting deadlines according to established guidelines and procedures
  • Track data and activities as directed by supervisor
  • Complete assigned monthly performance dashboard reports and other reports on request
  • Participate in scheduled team and centerwide meetings and required OU Outreach events
  • Submit time certification and distribution forms monthly
  • Submit claims for applicable work travel monthly
  • Perform other related duties as assigned
Job Requirements


Required Education:
Bachelor's Degree, AND:

  • 24 months experience working with professional development systems or similar programs

Equivalency/Substitution: Will accept 48 months experience in lieu of the Bachelor's degree for a total of 72 months of experience.

Skills:

  • Ability to speak, read and write clear, concise English
  • Ability to accurately read and understand written materials and instructions
  • Proficient in Microsoft Office
  • Detailoriented for accuracy of data and information
  • Highly organized and able to handle multiple projects and deadlines
  • Strong initiative to solve problems
  • General office skills such as multiline phone, copying, filing, faxing, and mail
  • Customer service
  • Experience working in early childhood or public school setting

Certifications:

  • Valid Driver's License

Advertised Physical Requirements:

  • Ability to engage in repetitive motions, and grasp objects with fingers or hands. Ability to communicate, including expressing oneself or exchanging information with others both verbally and in writing. Ability to see, including color, depth perception, and clarity. Ability to lift 30 pounds. Ability to sit for long periods of time. Ability to work effectively with frequent exposure to pressure caused by deadlines, busy periods, and a high volume of public contact.

Departmental Preferences:

  • Bachelor's degree in early childhood education, child development, family relations, elementary education, or related
  • Knowledge of the Oklahoma Professional Development Registry
  • Knowledge of Oklahoma Child Care Licensing Requirements
  • Knowledge of the Oklahoma Reaching for the Stars program
