Description:

The University of Illinois at Chicago, Facilities Management is seeking to fill an Office Support Specialist position. Employees in this position work under general supervision in support of an office or organization. They perform essential office support tasks that require knowledge of general office, university and departmental procedures. The ability to operate computer systems, comply with department data monitoring and operating office equipment are important components to their job.

Duties & Responsibilities

  • Provide departmental phone and front desk coverage; greet all customers in a professional and courteous manner; act as liaison between Facilities Management staff and all departmental customers and visitors; route calls to the appropriate agent; function as a knowledge-based resource for departmental customers and visitors
  • Assist key clerk with maintaining the ordering and distribution of keys to university departments, confirms authorization of requestors, compiles requests for locksmiths to process when necessary, helps maintain key authorization files and records
  • Assist FM staff with facilitation of meetings, interviews and events and Facilities Customer Support staff with answering phones and work order processing using CMMS system
  • Assist Mail Services with the receival, sorting and distribution of incoming mail/packages, and prepare outgoing mail
  • Create, update, revise and dispose of departmental files, some of which may include confidential materials; Files materials/documents in established alphabetical, chronological and/or numerical filing systems
  • Perform other related duties and participate in special projects as assigned

Qualifications:

Minimum Required Qualifications


  • High school diploma or equivalent.
  • Any one or combination totaling two (2) years (24 months from the categories below:
    • College coursework in any curriculum, a measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate’s Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)
    • Work experience performing office/clerical activities, including the use of computer systems.
  • One (1) year (12 months) of work experience comparable to the second level of this series.
