Job description:

Independently owned optometry office looking to add an office manager to our team! We are looking for a reliable professional to help drive the business while providing our patients with great customer service and overall experience. The owner needs a solid teammate that can function independently, and work well with the team. Looking for someone that will be invested in the practice and its success as a whole. Someone that is not afraid to jump in and make this practice their own, including implementing strategies and procedures to help grow the business and continue to run efficiently.

Qualifications:

● High School or GED qualification
● Minimum 1-year experience in related field (optical or in management)
● Familiarity with medical terms associated with eye treatment
● Excellent verbal and written communication skills
● Prior experience maintaining patients records / files per HIPAA regulations
● Entry level PC skills to include MC Office, Windows and Word Processing
● The ability to multitask, computer literacy, strong interpersonal and customer service skills are a must.
● Demonstrated ability to work successfully in a team environment, functioning for the good of the team.

Overview: There are three general responsibility areas of this position and those include the following:

● Administrative:

  • Oversee and assist with daily administrative tasks needed to run the office.
  • Update and maintain patient records, file test results, file and organize billing documents.
  • Submit and process insurance claims including posting of insurance payments into the electronic health records system (Revolution).
  • Follow up on claim denials including resubmitting payments to ensure payments are not missed. Billing patients according to insurance claim results.
  • General office duties such as faxing, organizing files, returning phone calls and emails, and maintaining the stock of office supplies including ophthalmic equipment and medications.

● Managerial:

  • Manage and train a small staff of eye care technicians including scheduling, conflict resolution, team bonding and leadership and job correction training and guidance if needed.
  • Handle escalated patient complaints and concerns regarding billing or in office experiences.
  • Create a productive and efficient office work space ensuring the team stays on task with assigned duties. Follow up with employees if poor performance is noted including creating a performance improvement plan if needed.
  • Hiring team members as needed to fit scheduling needs including recruiting new employees.
  • Along with the practice owner, the office manager is responsible for the onboarding of new hires including on the job training. Works with scheduled optometrists to ensure new hires are performing pretesting requirements to the optometrist’s needs to ensure efficient patient flow.
  • Monitor contact lens sales and exam growth. Work with the practice owner and the team to establish goals and implement routines to achieve them.

● Patient Care

  • Candidate must be a team player and willing to work in any position in the office as needed and based on staffing needs.
  • Perform preliminary eye screenings for the optometrist, collect and review patient demographic and health histories, contact lens insertion and removal classes,
  • ordering and stocking contact lenses.
  • Assist at the front desk including scheduling appointments, collecting co-pays and other payments, and making follow-up appointments and referrals for patients.
  • Ensure the front desk staff answers the phones promptly, professionally and schedules appointments accurately.

Job Type: Full-time

Salary: From $25.00 per hour depending on experience.

Schedule: 10 hour shift or 8 hour shift
