We are a field-oriented business performing long term contracted work among regional job sites. Additionally, Houtman provides warranty services and operates in cooperation with its sister company, OnPoint Commercial Services LLC. Office Manager

The Office Manager organizes, streamlines, and continually improves the administrative processes and policies to optimize business flow and increase efficiency. The person in this role should be very detailed and organized, have a confident awareness of industry best practices, and the ability to work side by side with the administrative team, operations team, and our suppliers and customers.

Responsibilities:

  • Various administrative and financial requests as needed to support the Company.
  • Timely and accurate data entry including:
  • Accounts Receivable.
  • Daily timesheet hours.
  • Routine accounting entries as needed.
  • New project information, including site data and schedule.
  • Accounts Receivable follow-up.
  • Invoice generation.
  • “Light” Human Resource assistance, including updates to company handbook, scheduling employee reviews, etc.
  • Facilitate the service process for warranty and non-warranty requests.
  • Fleet maintenance tracking and scheduling for services.
  • Assist with company scheduling, including company training meetings, events,
  • Facilitate the management of the underlying office resources, including phone system, network support, copiers, and printers.
  • Organization of administrative digital assets, including cloud folders, network folders, Outlook Calendars, and SharePoint sites.
  • Organization of administrative physical assets, including file folders, uniforms, office supplies, etc.
  • Primary phone support.

Skill and Experience Requirements:

  • Highly organized.
  • Highly flexible to accommodate the variety of responsibilities intrinsic to the small business environment.
  • Team player, positive attitude, desire to learn and grow, ability to multi-task, strong work ethic, able to work independently.
  • Self-starter, strong problem solving, analytical, detail oriented, critical thinking skills.
  • Strong oral and written communications, organizational, and interpersonal skills required.
  • Ability to proactively identify and implement process improvement opportunities.
  • 2+ yrs. of experience in construction, mechanical service, or similar field-based industries.
  • Current software used by company:
  • Quickbooks Enterprise: Contractor Edition
  • Microsoft Word, Outlook, and Excel, Sharepoint/Lists
  • Corrigo Field Service (Intuit)
  • Quickbooks Time (T-Sheets)
  • Fieldview Construction Management (Vendor Portal)
  • Excellent Verbal and Written Communication Skills
  • Strong organizational and time management skills
  • Problem solver willing to ask questions to obtain the answers required
  • Excellent follow-up, communication (written and verbal), and time management skills
  • Able to professionally perform multiple detail-oriented tasks with simultaneous deadlines

Job Type:

  • Pay: Full-time Salary: $22 to $28 per hour
  • Office Hours: Monday – Friday 8 am-4:30 pm. Some remote work is available for the right candidate and daily start and end times can be flexible.
  • Office Location: Mechanicsburg, PA (Rossmoyne Business Park)
