Full-Time Office Coordinator

Full-time – 40 hours per week

Job Description

Pioneer Park Campground is looking to fill a Full-time Office Coordinator position who is responsible for ensuring smooth day to day administrative operations of the office. Will be responsible for managing the operation of the office and the training and supervision of the office staff as well as the implementation of procedures and policies set forth by the Board of Directors. Assist in the development and/or updating of office procedures and policies. Having a winning customer service attitude, excellent communication and organizational skills. Prefer 2 years of administrative experience. Will provide a warm, welcoming experience to our members and their guests. Computer literacy involving spreadsheets, word processing, email and websites as well as knowledge of Quick Books. Must be available to work some holidays, weekends, and some evenings as required.

Software we use: Quick Books Cloud based, Mozilla Thunderbird Email, Microsoft Office Suite, Adobe, and Joomla.

ACCOUNTING:

  • Accounts Receivable: apply payments in Quick Books, make deposits, follow-up with past-due customers, monitor bank accounts.
  • Accounts Payable: enter invoices in Quick Books, reconcile credit card statements, process invoice payments.

HUMAN RESOURCES/BENEFITS/PAYROLL:

  • Liaison for all employee questions and requests
  • Help recruit and post job openings.
  • Handle new hire paperwork; Set up new employees in Quick Books and create personnel files
  • Maintain and update Employee Handbook and Policies & Procedures Manual.

MISCELLANEOUS OFFICE/CLERICAL:

  • Obtain Certificates of Insurance, process tax exempt forms, process lien waivers, assist with change orders, etc.
  • Marketing and social media – Update Website and Facebook Page
  • Answer phones, handle mail, order office supplies.
  • Assist President with administrative duties for Board of Director meetings and correspondence.

REQUIREMENTS:

  • 2 years of experience in an office setting, preferably as an Office Coordinator or similar role.
  • Experience working with Quick Books for A/R, A/P.

PAY: This is a full time position and the starting salary range is $18 to $21 per hour, based on knowledge and experience.
