This part time role will serve as the coordinator and manager for a training grant LEADRS (Leaders for Engagement, Accessibility, Diversity, and Responsive Services) in autism spectrum disorder and intellectual and developmental disabilities. This person will oversee and manage the scheduling, registration, and facility coordination for multiple 25-hour training courses, aid in the development of a tele-behavioral health network across the state of Wisconsin, and aid faculty in efforts for multiple research projects throughout the grant period. This person will manage the coordination of grant activities across collaborators and aid in tracking grant deliverables.
Duties and Responsibilities
  • Provide administrative professional support, oversees and coordinates the day-to-day office functions.
  • Answer telephones and provide information regarding a variety of programs. Route phone calls, direct visitors, provide forms and information.
  • Serve as liaison between community providers, Faculty and trainees.
  • Oversee purchasing for the grant.
  • Prepare and process deposits, purchase orders, direct invoice vouchers and P-card purchases.
  • Assist with the coordination of department events.
  • Prepare reports, information sheets and maps, coordinate phone registrations and requests for more information.
  • Supervise student employees and approve timesheets.
  • Provide leadership to office staff.
  • Maintain and schedule appointment calendars.
  • Track budgets.
  • Maintain departmental files.
  • Maintain and update office procedure manual.
  • Maintain vendor contact to ensure proper working order for all office machines.
  • Assist with organizational forms for department and document revisions.
  • Coordinates special projects as assigned.
  • Coordinate travel arrangements for staff.
  • Maintain grant-related records and data tracking systems
  • Ensure the efficient and successful completion of multiple research projects across the team through the management and organization of collaborators, and students’ time, effort, and data.
  • Work and maintain relationships with community service providers and collaborators both in person and electronically (phone, online surveys, etc.)
  • Collect survey, interview data, and behavioral assessment data with participants, maintain databases and confidentiality of data. Score behavior on videos and perform analyses.
  • Obtain and deliver participant incentives and maintain records for study purposes and university reports.
  • Oversee training development and delivery in support of ongoing research
  • Maintain proper records of all activities, following all current and future protocols as approved and reporting any anomalous or inconsistent behaviors immediately within the framework of regulatory oversight.
  • Oversee and maintain proper inventory of research-related equipment and consumables
  • Assist with manuscript and grant preparations and reports to funding agencies.
  • Serve as the primary liaison with extramural collaborators
  • Perform other duties and responsibilities as required, assigned, or requested.
Required Knowledge, Skills and Abilities
High School education plus three years related experience required.
Must possess excellent customer service skills, flexibility, prioritization and organizational skills.
Ability to organize and maintain manual and electronic filing systems.
Intermediate knowledge of Microsoft Word, Excel, Outlook, Powerpoint and Access.
Ability to access created networked files, and ability to maintain confidentiality with student records.
Preferred Knowledge, Skills and Abilities
BS or advanced degree in psychology, behavior analysis, counseling, or a related field
Experience working with diverse populations
Proven track record of effective technical training and oversight
Proficiency with Microsoft Excel
Demonstrated ability to manage and coordinate various projects with multiple short and long-term deliverables
Ability to prepare, comprehend, and comply with regulatory requirements, including HIPPA and FERPA
Strong record-keeping and organizational skills
Demonstrated attention to detail, professional attitude, and ability to maintain a strong work ethic
Experience with managing/supervising and training others
Experience working with children and families
