The Office Assistant provides administrative support to the Marin Ventures management team. He/she demonstrates initiative, excellent organizational skills, an ability to prioritize tasks, and a willingness to ask for guidance to facilitate task completion if needed.

Responsibilities:

  • Performs receptionist duties. Handles incoming “emergency line” calls, responding to, and routing the calls as needed. Greets visitors, receives mail and packages, and maintains front office area in a tidy manner.Provides clerical support to case management including data entry, filing, photocopying, and preparing reports for mailing. Handle petty cash and other program essentials distributed to staff on a daily basis.
  • Works with case management to monitor and maintain the client database.
  • Monitors and completes client attendance and billing. Maintains documentation for client attendance. Completes recording and billing. Communicates any concerns or unusual situations to the management team.
  • Maintains office equipment and supplies. Orders office supplies, shops, and stores supplies. Assists with program supply ordering. Works with the management team to maintain appropriate inventory. Coordinates repair and maintenance appointments.
  • Monitors and maintains recording logs, including but not limited to timekeeping and maintenance binders.
  • Handles communications with vendors and outside agencies.
  • Provides administrative support for fundraising and development activities, including donor database management, donor recognition, and tracking.
  • Assists with developing policies and procedures related to job responsibilities. Provides support for developing other agency policies and procedures.
  • Provides administrative support for special events. Works with other staff to organize materials and to-do lists.
  • Communicates effectively with the management team to ensure prioritizing of tasks.
  • Other duties as assigned.

Qualifications:

  • High school diploma and four years of experience in an administrative position preferred, or any combination of education and experience which would provide an opportunity to acquire the knowledge and ability to perform the duties listed below.
  • Current California driver’s license and clean DMV driving record
  • Must be able to communicate effectively through spoken and written English.
  • Competent with MS Office (Word, Excel, Outlook and PowerPoint), Intuit (Quickbooks) software products, and networked PCs and familiar with database management

Benefits & Compensation:

  • $26-27.50/hr depending on experience
