ESSENTIAL FUNCTIONS:

  • Thinks and behaves in alignment with the Company’s vision, mission, goals, objectives and core values.

  • Maintains a high level of confidentiality with regards to store and management information.
  • Maintains information system records and accurately compiles reports from the database as needed and to meet determined deadlines. These reports may include but are not limited to Bank Reconciliation, Weekly Cash Reports, Merchandise Report, Excise Tax Report, Inter-division Reports, Accounts Receivable Reports, Accounts Payable Transmittal Report, Regular Invoice Reports and Annual Fiscal Invoice Reports.
  • Assists team with prompt receipt and routing of incoming communication via phone, email or mail.
  • Prepares letters, memos, forms, and reports accurately and according to written or verbal instructions.
  • Assists with administrative tasks associated with vendor management.
  • Punctual participation in administrative staff meetings as well as other required meetings and seminars.
  • Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
  • Copies, sorts, and files records related to office activities, business transactions, and other matters.
  • Updates and maintains forms relating to logistics.
  • Maintains and creates standard operating procedure documents as needed.
  • Assists with reconciling data and sales entries.
  • Maintains filing systems and shipping logs either manually or electronically.
  • Manages store and team calendars and schedules appointments.
  • Serves as a project manager for assigned projects as needed.
  • Demonstrates regular and reliable attendance.
  • Adhere to standard procedures and policies to specific problems to produce solutions that make sense.
  • Demonstrates ethical conduct and maintains credibility.
  • Safety and Security
    • Work in a safe manner to protect yourself, your co-workers and others who may be affected by your actions.
    • Work together on exercising prevention methods to minimize injury or loss. Suggest solutions to mitigate hazards.

OTHER FUNCTIONS:

  • Assists Daiso Store Managers and Assistant Store Managers with operational needs as required.
  • Orders and receives store supplies and merchandise as directed.
  • When applicable, enters Point of Sale information and changes (i.e., assist in payroll or schedule editing, logging purchase orders and inputting inventory control maintenance, and POS reports.
  • Assist with recruitment functions such as candidate screening, and interviews as assigned.
  • Performs other Daiso administrative and store duties as required and assigned.

WORKING CONDITIONS:

Equipment/Tools Used: Variety of office-related devices and store equipment to include computers, printers, fax and copy machines, laminators, and other office supplies. When working at store locations, occasional use of store equipment such as various hand tools (i.e., glue guns, scissors, stapler, saws, drills, etc.), cash register, shredder, calculator, telephone, two-way radios and headsets, etc.

Work Hours: The employee must be available during office hours of 8:00 a.m. to 5:00 p.m. and must work 40 hours each week. May require flexible hours as needed (including days, nights, weekends, and holidays.) Some flexibility in scheduled hours may be allowed with prior approval by the Division Manager.

Work Environment: This job operates primarily in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. As this role is related to the support of Daiso Stores, work may also take place in the store locations and will work in regular store conditions, that will involve occasional exposure to heat, dust, solvents, chemicals, paint, glues, etc.

PHYSICAL DEMANDS:

  • This role will require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. Lifting up to 30 lbs. without physical limitation is required. Occasional push, pull and/or lifting up to 60 lbs. of materials is required.
  • Repetitive movements related to office-related functions, such as typing, is required.
  • Visual ability required to perform job functions.

TRAVEL:

  • Some local, neighbor island and U.S. mainland travel to various store locations may be required.
  • Less than 10 days per year.

QUALIFICATION REQUIREMENTS:

  • 1+ year(s) experience in a retail and/or customer service-oriented environment is preferred.
  • 1+ year(s) of administrative support experience is preferred.
  • Ability to communicate effectively with fellow employees, management, customers and vendors using both verbal and written skills. Able to understand and follow instructions to complete assignments.
  • A bachelor’s degree in business or related field, or one to two years’ administrative experience in an office setting.
